Earlham College is seeking a Gift and Data Entry Specialist to join our team!
Are you a detail-oriented individual with a passion for making a difference? Earlham College is seeking a dynamic Gift and Data Entry Specialist to join our dedicated Advancement team. In this crucial role, you will be at the heart of ensuring accurate and efficient gift processing and maintaining our valuable constituent data. This is a full-time (37.5 hours), hourly staff position, that includes a full benefits package.
The Institutional Advancement office is open Monday through Friday from 8am to 5pm. This position will primarily work in the office. Additional hours may be required during special events, such as Earlham Day, and Homecoming and Reunion Weekend. The Gift and Data Entry Specialist reports to the Associate Director of Advancement Services.
Primary Duties & Responsibilities:
Gift Processing
Receive and process incoming gifts, including checks, credit card payments, cash, and other forms of donations.
- Enter gift information into database with complete accuracy while adhering to 48-hour turnaround receipting and acknowledgment policy.
- Evaluate, sort, and total all donations to create daily gift batches.
- Assist donors with editing recurring gifts, including gift amount, payment methods, and gift designations.
Data Entry
Maintain the integrity and accuracy of the constituent database.
- Create and enter constituent data for individuals and organizations, including address updates, constituent demographics, and relationship cross-references.
Other
- Provide assistance to other members of the office and perform additional duties as necessary.
- Work closely with the Advancement Services team to streamline gift processing procedures and improve data management practices.
- Collaborate with the greater office to support activities in areas of giving and alumni engagement.
Qualifications
Experience & Qualifications:
The successful candidate will be able to multi-task, have strong organizational, telephone and interpersonal communication skills, as well as an attention to detail, a solid background in Microsoft Office Suite products and CRM experience.
- Ability to manage logins and use multiple 3rd party websites for research and data retrieval.
- Advanced skills in Microsoft Word and Excel, including mail merges.
- Ability to manage software and files on a PC running Windows 10.
- Ability to print envelopes and letterhead to shared network printers.
- Employment is contingent on a background checkBottom of Form.
- Strong analytical and critical thinking skills.
- Ability to work effectively under pressure, solve problems and adjust quickly to changing situations while maintaining strong commitment to customer service.
- Be a positive example and resource to all Earlham Students.
- Ability to interact effectively with constituents via phone, email and in person to resolve questions regarding biographical or gift data.
- Ability to manage time and prioritize tasks.
- Experience with Ellucian Banner or other shared database.
- Attention to detail and high level of accuracy.
- A high school diploma or GED certification is required.
- Computer skills including:
- Ability to adapt to frequently changing technology and procedures.
- Assessment of skills will occur.
