Under general supervision, positions in this class are responsible for the processing of vehicles and equipment for maintenance & repair; accurate entry and maintenance of repair data in the Fleet information system; and has considerable independence in setting equipment repair priorities and assigning work. Serves as primary customer contact, ensuring workflow is progressing and completed in a timely manner; and performs other duties as required.
The following typical tasks and responsibilities are representative of the position's essential duties. They are descriptive, not limiting.
Essential Duties:
- Coordinates the repair of vehicle accidents by collecting accident reports, police reports and contacts repair vendors for estimates;
- Prepares Preventative Maintenance (PM) schedule and coordinates with using departments;
- Coordinates and tracks the status of parts requests;
- Test-drives vehicles and equipment and transports vehicles and equipment
- Coordinates and tracks outside vendor repairs and recalls and invoices;
- Communicates with departments concerning the status of their vehicles and equipment and motor pool;
- Receives service requests and generates work orders using Fleet information system for all City equipment;
- Coordinates in-service and disposal process of vehicles and equipment;
- Reviews repair times for appropriateness for work performed; generates mechanic productivity reports; tracks staff time; receives completed work orders and time sheets from staff, checks for errors and completeness and enters staff labor into computer;
- Issues work assignments to staff;
- Determine vehicle and equipment needs;
- Monitors work orders and status entries to ensure work performed on vehicles and equipment is accurately entered into the Fleet information system;
Training and Experience:
- An equivalent combination of training and experience which provides the capabilities to perform the described job duties. Successful completion of appropriate trade school or technical course work in related area may be substituted for up to one (1) year of the required work experience.
- Graduation from high school with diploma or attainment of a satisfactory score on a G.E.D.; and
- Three (3) years’ experience in the automotive industry performing customer service or maintenance/repair of vehicles and equipment; or
- Fleet inventory and work order systems;
- Terminology in related field and concepts related to the service and repair of automotive, heavy and municipal equipment;
- Safe work practices and procedures; and
- Parts and materials related to automotive, heavy and municipal equipment;
- Automotive, heavy and municipal equipment;
- Proper techniques for dealing courteously and effectively with City staff, vendors, and members of the public;
- Record keeping practices and maintenance office procedures;
- Repair timeframes required for automotive, heavy and municipal equipment;
- Vehicle codes, rules, and regulations.
- Set priorities and meet critical deadlines in a fast-paced environment;
- Estimate necessary materials, time, and costs required to properly repair equipment;
- Interpret and convey work requests to prepare clear and accurate work orders;
- Define and assess operational processes and workflow.
- Operate automotive, heavy and municipal equipment;
- Understand and follow oral and written instructions;
- Evaluate information and make recommendations; and
- Provide prompt, courteous service to the public and staff;
- Operate computers and related software to carry out assigned work duties;
- Communicate verbally, written, and orally;
- Read and interpret manuals, specifications and drawings;
- Exercise independent judgment and initiative without close supervision;
- Type and meet deadlines;
- Establish and maintain effective communication and working relationships with those contacted in the course of work;
- Prepare, present, and maintain accurate records and reports;
- Perform moderate manual labor;
- Safely and efficiently operate automotive, heavy and municipal equipment; follow workplace safety policies and procedures; properly use personal protective equipment;
- Possession of a valid Class "C" California driver's license. A Class “B” California driver's license must be obtained within the six-month probationary period.
- Employees are on-call for emergencies after regular hours and must be willing to work overtime and holidays.
- Must be willing to work outdoors in all weather conditions with exposure to unpleasant and potentially hazardous conditions;
- Standard office environment in a maintenance environment;
This class is responsible for assessing, documenting and monitoring the repair needs of vehicles and equipment maintained by the Fleet Division. Performs technical, specialized and/or difficult automotive analysis. Serves as a liaison to the departments, vendors, and staff concerning vehicle and equipment maintenance and repairs, understanding key terminology, and tracking work. Positions report to the Fleet Supervisor II.

1-4 years of service: 10 days per year.
5-13 years of service: 15 days per year.
14+ years of service: 20 days per year.
VACATION - FIRE SAFETY SHIFT PERSONNEL ONLY:
1-4 years of service: 4.68 (24-hr. duty shifts)
5-15 years of service: 7.02 (24-hr. duty shifts)
16+ years of service: 9.36 (24-hr. duty shifts)
HOLIDAYS: 13 paid holidays per year.
SICK LEAVE: Earned at the rate of one working day per month of service to a maximum of 120 days; portions therafter may be convertible.
ADMINISTRATIVE LEAVE: 10 days per year for General Supervisory and Management employees.
INSURANCE: The City and the employee share contributions for premiums for health insurance coverage. The City provides life insurance benefits based on bargaining unit. Visit the City's Employee Benefit website for detailed information (rates and plan information).
RETIREMENT: Benefits are provided by the City's participation in the Public Employee's Retirement System (PERS). 2% @ 62 for new hire Miscellaneous and 2.7% @ 57 for Safety (Fire & Police). Visit the City's Retirement website for additional information.
