INTRODUCTION: CONTEXT AND MISSION
The Cleveland Metropolitan School District (CMSD) serves approximately 37,000 students in 100+ schools. Over the past several years, the Greater Cleveland community has united behind the collective goal of ensuring every child in Cleveland attends a high-quality school and every neighborhood has a multitude of great schools from which families can choose. The Cleveland Plan defines CMSD’s approach to the reinvention of public education and holds our community accountable for the success of Cleveland’s schoolchildren. The Cleveland Plan is supported by Ohio House Bill 525, which provides much-needed flexibility and autonomy for the district and its schools. performance. The principal has primary responsibility and accountability for establishing his or her school as a high-quality, high-expectations academic center with a focus on personalized instruction, professional support for teachers, and school-wide practices that lead to measurable results.

THE OPPORTUNITY:

Compensation: $45,900.00 - $64,260.00

The Facilities Coordinator will report to the Executive Director of the Facilities Department. The Facilities Coordinator will be detail oriented and possess a high level of technical and organizational skills. The primary role of this position will be to support, monitor, improve, and execute the functions of the Facilities Department leading to better outcomes for our schools and scholars.
Responsibilities
  • Screens and handles incoming and outgoing electronic communications
  • Interviews Sub-Cleaners and Cleaners for recommendation to Hire
  • Work with individuals in all levels of responsibility
  • Assembles highly confidential and sensitive information associated with Facilities vendors
  • Provide targeted and timely administrative support for the Executive Director including scheduling, telephone management, record-keeping, and meeting coordination. Set up conferences/workshops, travel and budget
  • Organizes and supports the day-to-day activities to ensure efficient office operations
  • Perform other related duties as required
  • Exercise a substantial degree of knowledge of CMSD
  • Provide an outstanding customer service experience while projecting a professional image through in-person and phone interaction
  • Coordinate four Mobile Cleaning Crews, including Mobile Cleaning Crew payroll
  • Co-ordinate Utilities new accounts, disconnects and reconnection in CMSD Facilities
  • Serve as lead and front line of contact for the Executive Director of Facilities
  • Assumes responsibility for calendar management, scheduling and arrangement of meetings/appointments and preparation of agendas for meetings
  • Able to work with other Departments that effect the operation of the Facilities Department
  • Create, enter and track resolutions in coordination with the Executive Assistant to the Chief Operations Officer and Board Manager into the OnBase software system; tracking the approval process to ensure prompt processing.
  • Responsible for all assignments for entire crew of Substitute Cleaners
  • Will also assist three (3) Facilities Managers
  • Implement and direct the District and/or Board of Education policies and procedures
  • Create and receive purchase orders
  • Help manage and maintain personnel records in accordance with District evaluation and attendance policies and processes, to include document preparation and disciplinary hearings
  • Exhibits good customer relations skills in answering phones, screening and responding to inquiries and requests from District officials, parents, students, media and other external customers
  • Handles basic correspondence without supervision, including memos, letters and electronic transmissions to internal employees and external customers
  • Assists preparation of background documents and materials for presentations
Qualifications
  • Deep knowledge of the issues and dynamics of inequity in education and passion for CMSD’s mission
  • Business Degree preferred or 7-10 years in the Facilities Department and 10 years of demonstrated experience in the CMSD District
  • Exceptional communication and presentation skills, both verbal and written
  • A personal sense of accountability around the ultimate success of CMSD transformation
  • Results driven, with excellent planning and organizing skills
  • Able to travel to school sites, occasional conference/career fairs and work flexible hours
  • Successful with overcoming significant barriers to meet goals in a fast-paced and changeable environment
  • Proven experience working collaboratively in a team oriented environment
  • Ability to perform multifaceted tasks with minimum supervision
  • Able to critically assess challenges and identify flexible, effective solutions
Working Conditions/Physical Demands
  • The employee is frequently required to talk and/or hear.
  • While performing the duties of this job, the employee is regularly required to stand, walk and sit; use hands to finger, handle, or feel; and reach with hands and arms
  • While performing the duties of this job, the employee is exposed to a normal office environment
  • Local travel may be required for training/meetings
  • Expected moving, walking and standing consistent with an office environment and occasionally lifting up to 15 pounds
  • Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus
