Job Description
Position Summary


The Cincinnati Art Museum has an immediate opening for the position of Exhibitions Coordinator. The job responsibility for the Exhibitions Coordinator focuses on coordinating multiple projects within the Exhibitions/ Registration department. This position is an integral part of the Exhibitions team and facilitates all administrative aspects of the installations and exhibitions in the assigned portfolio, with the goal of assisting museum staff that create and implement exhibitions and installations that help inform, engage, and surprise our museum guests.

Essential Functions & Responsibilities


Reporting directly to the Director of Collections and Exhibitions, duties include, but are not limited to:


  • Processes exhibition related invoices and payments, tracks project budgets, and generates expense reports and financial reports as directed.
  • Assists the exhibitions registrar with installations, de-installations, courier liaison duties and any other areas of support needed.
  • Assists the exhibition designer with gallery layouts, casework layouts, sample paint, fabric, and other design materials as well as installation guidelines for placement or artwork.
  • Creates and maintains exhibition records in CAM’s collections management system.
  • Make travel arrangements as needed for exhibition purposes including airfare, hotel, transportation, per-diem, etc.
  • Orders exhibition supplies and liaises with outside vendors for fabrication and gallery work.
  • Helps foster team collegiality, timeliness, and mutual respect to create experiences that engage and delight guests.
  • Other duties as assigned.
  • Answers inquiries from the public and colleagues via phone and email in a prompt, professional manner.
  • Schedules timely meetings, books meeting rooms, prepares agendas, and facilitates productive meetings.
  • Works with teams to deliver terrific exhibitions and installations on time and on or under budget.
  • Provides administrative support to the Director of Collections and Exhibitions regularly, and the Head of Installation as needed.
  • Provides registrar assistance when needed as multiple projects tend to overlap during installation.
  • Tracks spending of multiple exhibitions budgets.
  • Oversees organization and archiving of exhibitions documentation physically and digitally.
  • Performs courier duties of loaned artwork from the permanent collection as well as courier duties to the venues outside of an exhibition schedule.
  • Acts as the point person for all communications across all Museum departments for the projects upcoming in the portfolio.


Requirements


B.A. in art history or related field with at least three years office management and/or museum experience required. Equivalent combination of education and experience will also be considered for this position.


Computer experience: the ability to create presentations, maintain and formulate budgets, read spreadsheets and database proficiency is essential. Proficiency in creating and maintaining Excel spreadsheets is highly desired.


Must possess excellent written and oral communication skills using a variety of methods.


Ability to read and analyze business and financial reports and present information in report format.
