Position Description

A Democrat member office from Florida seeks a Executive Staff Assistant/Legislative Correspondent in their Washington, D.C. office. The Congresswoman is a permanent member of the House Foreign Affairs Committee (HFAC) and ranking member of the House Veterans’ Affairs Subcommittee on Technology Modernization (HVAC). They seek an Executive Staff Assistant / Legislative Correspondent to support the Member Office’s operations and legislative efforts. The Executive Staff Assistant / Legislative Correspondent greets visitors, answers the telephone, and answers constituent requests for general information, tours, and other inquiries. This position also monitors delivery and pickup of materials, maintains the front office, and assists with various administrative, operations and legislative duties. The staff member in this role interacts regularly with constituents and should have a friendly, helpful demeanor. The ideal candidate is a team player and manager, strong writer and researcher, skilled listener and communicator, detail-oriented and organized, responsive and accessible, a creative problem solver, and self-motivated.


Essential Job Functions:

• Answers and screens telephone calls for the Congresswoman and other staff members, and capture messages accordingly;

• Greets and screens visitors;

• Coordinates staff-led tours of the Capitol, the White House, and other identified agencies for constituents and other guests;

• Assists persons who have meetings with the Congresswoman or the staff, and works closely with the Congresswoman’s Scheduler to ensure that the Member’s meetings are on time and the Scheduler and her team are aware of the guest’s arrival;

• Serves as the office systems manager with the processing of constituent correspondence;

• Answers constituent mail and e-mail in both form and individual responses in coordination with the legislative staff. Responds to constituent requests for information;

• Tracks legislation through the committee, House floor, Senate and conference committee processes in assigned issue areas, and briefs the legislative staff;

• Together with the legislative staff acts as a liaison with constituents, interest groups, committee and agency staff in assigned issue areas;

• Maintains literature regarding the district and House offices for distribution to visitors;

• Purchases supplies for the office from the House Office supply store;

• Signs for deliveries and forwards all materials delivered to the office to appropriate staff members in a timely manner;

• Ensures that requests for assistance are directed to the appropriate staff member in a timely manner;

• Documents opinions on issues communicated via telephone, mail, and email;

• Performs or coordinates general administrative assignments with interns/fellows;

• Support the Operations team in logistical activities;

• Performs special projects assigned by the Congresswoman or Chief of Staff.

• Maintains a good working relationship with the Congresswoman, Chief of Staff, department staff, and constituents;

• Possesses a temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner;

• Accepts performance-based criticism and direction;

• Meets attendance requirements as established by the office;

• Works well under pressure and handles stress;

• Works a flexible schedule including long hours, nights, and weekends as needed according to the Congressional schedule;

• Performs other duties as assigned.


Applicants must possess a valid driver’s license with a clean driving record, and a vehicle.


Education/Experience:

Must possess a bachelor’s degree. Congressional experience, including internships, is preferred. A minimum of 2 years of related experience or training in public administration, project management, or hospitality is preferred.

Compensation

  • Be (i) admitted as a refugee under 8 U.S.C. § 1157 or granted asylum under 8 U.S.C. § 1158 and (ii) have filed a declaration of intention to become a lawful permanent resident and then a citizen when eligible
