Job Description
Location: Johns Hopkins Health System, Baltimore, MD 21201
Category: Clerical and Administrative Support
Experienced Executive Assistant needed to support CEO and COO.
Position interacts with JHM presidents and board members and external government officials as well as high profile clients.
M-F 8:30am- 5pm. Depending on time sensitive nature of work, some weekend hours are needed.
Hybrid M-W in office, Th-Fri, remote, 550 Monument St Baltimore, MD
Manages CEO and COO's day-to-day activities including calendar management, arranging conference calls and meetings and preparing background material for meetings.
Coordinates all JHM and University leadership meetings including finalizing agenda and ensuring leadership team member reports are received.
Plans, writes, edits and manages the distribution of letters, memoranda and other communications from CEO and COO.
Manages entity staff meetings by helping to organize an agenda, sending out advance notifications, as well as reminders, copying and distributing materials.
Coordinates all work associated with the JHMI Board of Directors including coordinating the quarterly meetings, maintaining membership records and works with the JHM Trustees Office on all matters associated with the Board.
Reviews, analyzes and sorts all incoming material, summarizing content to brief the CEO/COO regarding important issues or conflicts as they arise.
Composes correspondence on behalf of the CEO/COO.
Builds and fosters relationships with high level internal and external global and domestic partners.
Coordinates all aspects of travel related activities.
Manages facilities including re-location, on site renovations, vendor requests, scheduling of conference rooms by internal/external groups.
In the CEO/COO's absence ensures that requests for action or information are relayed to appropriate staff members, dealing appropriately with confidential, sensitive and proprietary information.
Consistently exercises discretion, diplomacy and tact in correspondence with all stakeholders.
Concur Management - Submit all expense reports to Concur for reimbursement for the President and the COO. Also maintains all records for the President's JH Corporate Credit Card and works with members of the JHMI Finance Team to confirm recording keeping and provide back-up and justification for all expenses.
Bachelor's degree preferred, Requires two years college level coursework, technical business school or equivalent
Five years' experience in support of executive in an academic, business, research and/or development activities and operations, providing high level administrative oversight, coordination, and advice.
