Job Description
Jumpstart:HR, is seeking an Executive Assistant to support the CEO and COO at one of our client's. The ideal candidate is a highly organized, detail-oriented, and friendly professional who can prioritize and multi-task. As the Executive Assistant, you will be responsible for ensuring the smooth and efficient operation of the executive office of the CEO and COO, including coordinating schedules, managing email and phone correspondence, preparing reports, and assisting with special projects.

Responsibilities of the Executive Assistant


  • Exercises considerable judgment and discretion in handling requests for appointments and telephone calls
  • Proactively establishes, and maintains a highly organized filing system; files correspondence, and other records.
  • Assists with new hire orientation
  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
  • Coordinates Executive’s calendar and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness.
  • Prepares work agreements and proposals and maintains appropriate records and files
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing
  • Performs other related duties as assigned by management.
  • Assists with special projects as assigned
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
  • Composes, types, and distributes professional correspondence and memoranda, E-mails, and faxes, using individual initiative and as assigned.
  • Reviews and responds to daily internal/external mail and overnight packages; sends and receives faxes.
  • Conducts research; compiles and types statistical reports.
  • Attends meetings and other functions as needed
  • Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls
  • Meets and greets visitors in a courteous and professional manner.
  • Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
  • Prepares daily mail for the Executive office


Requirements


  • Ability to work on complex projects with general direction
  • Typing skills of 50 wpm
  • Associate's degree or equivalent experience preferred
  • Strong communication and interpersonal skills
  • Professional demeanor and presentation
  • Proficient in Google Suite and Microsoft Office
  • Positive attitude and willingness to learn and take on additional responsibilities as needed
  • Exceptional organizational skills and attention to detail
  • 3+ years of experience working in an administrative support role for senior executives
  • Ability to multi-task and prioritize in a fast-paced environment
  • Ability to handle sensitive and confidential information with discretion
