Job Description
Are you a proactive and organized professional looking to make a significant impact in a dynamic work environment? We are seeking an Executive Assistant to support the Office of the CEO in our downtown Chicago office. This position offers a unique hybrid work experience, combining in-office collaboration with the flexibility of remote work.
About The Role
As an Executive Assistant, you will play a pivotal role within our organization, providing essential support to the CEO's office. Reporting to the Assistant to the CEO, you will assist with various responsibilities, both internally and externally.
Key Responsibilities
Internal Support
Maintain confidentiality while handling sensitive information.
Cultivate strong, results-oriented relationships with colleagues.
Ensure efficient time management for the CEO.
Manage the Outlook calendar, including appointment scheduling and prioritization.
Coordinate travel plans and logistics, including itinerary preparation.
Handle time and expense reports.
Manage Outlook contacts; familiarity with HubSpot is a plus.
Draft and send routine correspondence on behalf of the CEO.
Maintain and improve file structures.
Act as a welcoming host for guests at our Chicago office on in-office days, arranging meals when necessary.
Keep office and kitchen supplies well-stocked and organized.
Demonstrate proficiency with AV equipment and computers, providing training as needed.
Assist with the issuance and tracking of Security System key fobs.

Experience And Qualifications
3-5 years of senior-level administrative experience.
Associate degree in administration, communications, business, marketing, information technology, human resources, or related field, or an equivalent combination of education, certification, experience, and training is desirable.
Exceptional writing, editing, and proofreading skills.
Willingness to work in-person in our Chicago office, with varying in-office and remote workdays.
Meticulous attention to detail, both in personal work and when reviewing or delivering peer reviews.
Flexible working style to handle multiple tasks and deadlines in a fast-paced environment; knowledge of Monday.com is a plus.
Self-sufficiency and resourcefulness with a proactive attitude.
Proficiency in Microsoft Office, including intermediate/advanced PowerPoint skills, and advanced Outlook skills.
