The Executive Assistant will report directly to the Executive Producer & President, NBC Olympics & Golf Channel while also directly supporting EVP, Studio/Remote Ops & Prod Planning.


Responsibilities


Administrative duties for this role include:


  • Other regular responsibilities include comprehensive research, presentation building, substantive follow up, coordinating special projects and events for both executives and their direct reports
  • The role requires strong interpersonal skills and demands constant communication across the Olympics and Remote/Studio Ops functions. Chosen applicants would gain a comprehensive insight into sports media production and business on all levels—operations, ad sales, marketing, finance, engineering, production, etc.
  • Assisting when appropriate in preparation and drafting of documents and presentations
  • Preparing, collecting, and executing content and presentations for large scale meetings
  • Additional duties as assigned, including providing relief support and coverage for other executive assistants as directed
  • Answering phones; managing travel and expenses; controlling calendars and setting meetings; and attending and taking notes for staff meetings
  • Assist in managing Executive Office Interns
  • Providing assistance on various projects and activities for the Olympics & Studio/Remote Ops departments
  • Handling and coordinating confidential information with detail and due care
  • Coordination between multiple internal departments and external partners
  • Ordering supplies as needed for the Olympics and Studio/Remote Ops departments
  • Processing departmental invoices and coordinate payments with accounts payable department


Qualifications


Basic Requirements:


  • Highly proficient across Microsoft Office (including Outlook, Word, PowerPoint, and Excel)
  • The role is intended for candidates with a strong, demonstrated interest in sports and media, and are looking to develop professionally in the sports media business
  • Bachelor’s degree in related field


Desired Characteristics


  • Must be detail-oriented and able to handle multiple projects simultaneously
  • Experience working in television production
  • Solid writing and organization skills
  • Must be a team player
  • Ability to handle confidential information and interact with high-level executives a must
  • Ability to work well in a team environment and independently
  • Excellent communication and follow-up skills needed
  • Prior work experience in a related field (Internships included)
  • Ability to work under pressure to meet deadlines
  • Interest in Olympics and/or Sports Production
  • Demonstrated self-starter with the ability to organize and establish administrative procedures independently, draft correspondence and reports, and work under pressure


Additional Requirements


  • Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
  • Willingness to work overtime, and on weekends with short notice. Occasional travel may be required with notice.
  • There will be an expectation that this role work primarily on-site during the training period and in the lead up to large-scaled events.
  • Must be willing to work in Stamford, CT
