Job Description
Based in Park City Utah, the Executive Assistant plays an important role in the efficiency and effectiveness of the Woodward President and Woodward Global Senior Leadership Team by supporting the team in all administrative and organizational respects. The position has wide ranging involvement in executive management activities including coordinating meetings, recording important information during meetings, preparing, reviewing, and editing correspondence, coordinating travel, planning events, greeting and assisting staff, guests and VIPs, and generally representing the President, Global Team, and company with the highest level of confidentiality and professionalism. This individual should be a self-starter, be organized, inventive, and efficient. Being flexible while maintaining a high level of integrity and confidentiality is crucial to this role. The Executive Assistant will have the intuition to react with appropriate urgency to emerging situations, be able to complete multiple high-priority tasks efficiently and be comfortable to make decisions with minimal oversight or mentorship. Successful applicants must be able to see the big picture but also be detail oriented. This position requires competence and comfort with writing challenging or complex communications. Woodward's Executive Assistant must have the sensitivity needed to deliver information that is nuanced at times and maintain courtesy and professionalism. A desire to thrive in a setting where there is the opportunity to work with many individuals and personalities and be able build strong relationships is key. Essential Duties and Responsibilities:
  • Manage collective Global Team calendar and arrange appointments for members as requested.
  • Positivity and resourcefulness.
  • Support the President of Woodward with all correspondence, communication, scheduling, team-related administration, and project management.
  • Strong calendar management skills (using Outlook calendar to liaison with multiple partners within the company).

  • Perform general clerical duties in support of the President and Global VP team as requested.
  • Coordinate use of corporate meeting spaces.
  • Detail oriented, meticulous mindset.
  • Strong verbal and written communication skills.
  • Nurture relationships with vendors, landlords, service providers.
  • High school degree or GED equivalent required.
  • Support mission and vision communication to and from leadership.
  • Work collaboratively with all other executive admins across business units and remote locations to maintain a smoothly working cohesive environment.
  • Ability to be a self-starter and finding solutions efficiently and effectively.
  • Manage office space, furniture, and supplies for the Global offices.
  • Ability to thrive in a dynamic environment.
  • Project management and task follow-up.
  • Bachelor's degree in related field preferred.
  • Arrange and support meetings and events for Global SLT, including annual or regularly scheduled Global Team summit meetings and conferences.
  • Support in assigned project-based work, presentation creation.
  • Confirmed problem-solving abilities with challenging deadlines and priorities.
  • Able to handle multiple tasks and confidential issues/material as well as communicate effectively with senior executives.
  • Ensure project information is organized and accurate across all platforms.
  • Proficiency in Office 365 including Outlook, Word, and Excel.
  • Manage travel arrangements and expense reports for the President and VP of Finance.
  • Works well independently as well as with a team.
  • Strong love for learning, applying that learning, and organizing a team.
  • Coordinate travel arrangements for Global VP team as requested by President and/or VP of Finance.
  • Be able to assist operating departments in support roles as needed on busy days.
  • Assist the President by keeping track of and following up on important matters and tasks.
  • Provide general support for visitors to the Global offices. Secondary Functions:
  • Coordinate use of Global meeting spaces.
  • Travel, meeting scheduling, event planning, and coordination for individuals and groups.
  • Keynote / PowerPoint presentation skills preferred.
  • Ability to anticipate needs.
  • Collect, produce, and organize key reports for project meetings.
  • Excels with tight deadlines and can always maintain a calm demeanor.
  • Ability to understand responsibilities and prioritize the tasks according to their urgency and importance.
  • Ability to anticipate change and react efficiently and expeditiously.
  • Compile and share meeting notes and project updates with partners.
  • Be the go-to contact for maintenance, mailing, shipping, supplies, equipment, bills and errands.
  • Acts as a gatekeeper and scheduler with the capacity to prioritize for the President.
  • An inclination for learning new systems and applications.
