Are you looking for a fast-paced administrative role that supports senior leadership in a global environment? If so, this Administrative Support Staff role could be an exciting opportunity to explore.
The Administrative Assistant reports to the Site Director and supports the site Core Leadership Team. Requires a high level of tact and integrity due to the frequency of senior-level internal and external contacts and regular exposure to confidential data. Requires a thorough knowledge of the Administrative Assistant accountabilities and method of operation, works independently with only general guidance on a variety of special projects. Perform all job responsibilities in compliance with applicable EHS and GMP regulations, guidelines, policies, GSK standard operating & safety procedures, and industry practice and Continuous Improvement Ecosystem initiatives.
This role will provide YOU the opportunity to lead key activities to progress YOUR career, these responsibilities include some of the following:
  • Communicate and/or coordinate Site Director’s instructions with various individuals and/or departments; provide and obtain information from other executives or outside representatives
  • Develop, design, maintain and update site reports as necessary
  • Organize site management meetings and team events, including attendance, room set up and catering needs. Schedule, plan, and coordinate site appointments, meetings, conferences, and travel and expense reporting
  • Communicate and/or coordinate activities between multiple managers and departments
  • Acts as back up to Administrative Assistant
  • Support Administrative Assistant to ensure bi-weekly non-exempt payroll closes within Human Resource Information System, acts as backup SME for timekeeping
  • Develop, design, maintain and update site reports, meeting agendas, project proposals and other routine and non-routine correspondence in a way, that is clear, timely and, when necessary, confidentially
  • Other duties as assigned
  • Receive and screen correspondence and/or visitors to the site; organize and maintain the Core Leadership Team’s calendars, Core Leadership Team MS Teams site/document repositories, correspondence, and records, following up on pending matters with limited direction/supervision
  • Ensures personal objectives are aligned with departmental goals and objectives, and manage a high-volume workload proactively to a consistently high standard, by setting priorities, objectives and target dates

Basic Qualifications:
We are looking for professionals with these required skills to achieve our goals:
  • 5+ years of experience providing administrative support
  • High School diploma or GED
Preferred Qualifications:
If you have the following characteristics, it would be a plus:
  • The ability to communicate and negotiate with a positive and flexible approach to teamwork and the ability to interact well with all levels of the organization
  • Act as a change agent to identify and drive continuous improvement in systems and processes
  • Demonstrable experience in providing secretarial support to senior leadership (CEOs, CBO’s etc and their Admins) and Academia via e-mail, phone and face to face
  • Proven ability to handle confidential matters/data with a high level of integrity and confidentiality
  • Excellent communication and organization skills. Experienced setting priorities, composing correspondence, collecting data, and preparing reports
  • Ability to handle multiple tasks simultaneously some with a high degree of sensitivity and confidentiality
  • Must be a committed team player prepared to work in and embrace team based culture
  • Advanced IT skills to include Microsoft Outlook, PowerPoint, Word and Excel, use of inter- and intranet
  • Proven record of providing excellent internal and external customer service
  • Bachelor's degree in Business, Communications, HR, English with other non-administrative degrees considered
