Job Description
Organization Description: Vecinos is a non-profit, 501(c)3 organization that provides outpatient and mobile clinics with integrated primary and mental healthcare, health education, and case management to uninsured Latinx community members. We offer a positive, supportive, and team-oriented atmosphere. We work in a non-traditional environment with limited resources. Schedules and hours vary throughout the year.
Purpose:The Executive Assistant assists the Executive Director and Board of Directors in administrative and operational management of the organization.
Job Responsibilities
  • Assist in calendar coordination, fulfilling external requests, and relevant administrative research
  • Assist in management of Board of Directors, taking notes during Board meetings, preparing logistics for meetings and retreats, and communicating as requested for the Executive Director
  • Filter operational requests to the Executive Director. Assist staff in completing operational needs including helping solve problems with issues pertaining to phone systems, fleet maintenance, communication with WCU staff, etc.
  • Work with contracted companies to complete assigned tasks
  • Human Resources
  • Maximize efficiency of systems, including DonorPerfect, Quickbooks, Microsoft, Carbonite, Google, etc.
  • Draft, review, and send communications on behalf of the Executive Director both internally and externally
  • Communications
  • Assist in coordinating communications, marketing, and fundraising efforts, including preparing content information for marketing efforts, gathering needed data points from across the organization, and preparing for public events
  • Administration
  • Assist the Executive Director in fulfilling the daily administrative tasks of the organization, including processing financial and informational requests; organizing paper and electronic files; ensuring compliance with appropriate policies, procedures, and practices; screening and directing calls and correspondence; etc.
Assist all supervisors in human resource recruitment, including posting job descriptions to websites, appropriate listservs, and other venues; preparing lists of candidates and resumes; coordinating interviews; and streamlining communication with candidates and staff
Assist in on-boarding new employees, including new employee paperwork, documentation, building access, and internal communication
