Executive Assistant, C-Suite (Remote)

Retargetly, a wholly owned business unit (BU) of Publicis Groupe and Epsilon, is an advertising technology company with over 130 people across Latin America and the United States. Our company develops and sells cutting edge web-based applications and solutions that help hundreds of brands in Mexico, Brazil, Argentina, Chile, Peru, Colombia, and the Hispanic market in the United States, improve their advertising and marketing operations.

We are looking for a dynamic, engaged, and passionate Executive Assistant to support our C-Suite team composed of our Chief Executive Officer, our Chief Operating Officer, and our Chief Technology Officer. The ideal candidate will have a professional and proactive approach to their work, be always available, and do everything necessary to support our C-Suite in accomplishing their goals and those of the company. The Executives will depend heavily on you which requires you to be available at sometimes off hours. This is an experienced Executive Assistant role.

• Completing and getting approval for expense reports and other reporting requirements.
• Communicate and follow up with Retargetly, Epsilon, and Publicis Groupe leadership and executives on behalf of the C-Suite.
• Manage and keep up to date an extremely active appointment calendar with complex time management, where being proactive and anticipatory will be essential.
• Provide a daily summary to C-Suite members regarding their upcoming agenda, open deliverables, and other pressing matters.
• Arranging every detail for a busy travel calendar including occasionally for members of the wider Leadership team when required by the C-Suite.
• Upon request listen in on internal or external meetings to take down notes, capture action items, and follow up to ensure that all open items get closed expeditiously.
• Provide in-depth administrative support to the C-Suite.
• Manage a variety of different special projects assigned to you by the C-Suite in a proactive manner.
• Ability to take on specific personal assistant duties if needed.

• 10+ years of experience as an Executive Assistant for dynamic multinational companies, preferably in tech or startup environments.
• Impeccable grammar and communication skills.
• Fast-learner and a keen eye for prioritization based on little upfront information.
• Extreme sense of loyalty and confidentiality on all matters discussed.
• A pragmatic approach to problem solving that prioritizes effectiveness.
• Proficient in both English and Spanish.
• In-depth understanding of Microsoft Office and Teams suite.
