Job Description
Job Summary


We are looking for an Operations Administrator to support the daily operations of our California Manufacturing Plant. This role involves managing various administrative tasks, coordinating internal processes, managing product installations, and supporting different departments within the company. The Operations Administrator will report to the Operations Director and interact directly with the Custom Structure Manager, Revenue Conversion Department, Transport Drivers, and On-Site Installers. The position will be responsible for maintaining existing vendor relationships and executing contracts negotiated by the Nationwide Strategic Purchaser. The Operations Administrator will help drive continuous improvement & waste elimination within the operations department by maintaining a well-organized and productive work environment.


Job Duties


  • Leadership of Driver and On-Site Install Services
  • Develop and support systems & processes that enable operations to achieve desired objectives
  • Communicate with internal teams, clients, and external vendors to facilitate smooth operations.
  • Liaison to HQ for Nationwide Purchasing & HR
  • Monitor and update project timelines and task lists.
  • Providing administrative support by managing and organizing office documentation, files, records, office supplies and equipment inventory.
  • Handle incoming and outgoing correspondence, emails, and phone calls.
  • Identify operational challenges and propose solutions for process improvement.
  • Input, manage, and maintain accurate data in company databases and systems, to include Inventory Management, Purchasing, Receiving, and Project Budgets.
  • Warranty and Repair Execution
  • Collaborate with the finance department to ensure accurate financial records.
  • DOT/Safety Compliance
  • Ensure data integrity and security while adhering to data protection regulations.
  • Ensure compliance with company policies, regulations, safety and industry standards.
  • Help implement and maintain standard operating procedures.
  • Coordinate and schedule meetings, conferences, events and appointments.
  • Generate regular reports and summaries to provide insights into operational performance.
  • Oversee office facilities and maintenance to ensure a safe and comfortable work environment;coordinate repairs, maintenance, and improvements as needed.


Qualifications


Skills/Abilities:


  • Detail-oriented with strong analytical and problem-solving skills.
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office, and data management software.
  • Strong organizational and administrative skills
  • Ability to adapt to changing priorities and work under pressure.


Experience/Education


  • Bilingual preferred.
  • High school diploma required, Bachelor's degree in business administration, operations management, or related field a plus (or equivalent experience).
  • 2+ years of experience as an operations administrator or in a similar position preferred.
  • Workers compensation
  • ERP experience preferred


Work Conditions


  • Monday-Friday; 7:00am-4:00pm, Saturdays as needed
  • Factory Office / Warehouse is a non-climate controlled environment
