Job Title: Executive Administrative Assistant at m2 Realty
:
m2 Realty, an independent woman-owned real estate brokerage firm located in Raleigh, NC, is seeking a highly organized and proactive Executive Administrative Assistant to support the CEO and ensure the smooth operation of the company. The ideal candidate will excel in document management, database organization, calendar coordination, prospecting, and brand protection.
Responsibilities:
- Document Management: Organize, file, and maintain all company documents, contracts, and records in a systematic and accessible manner.
- Database Management: Manage and update the client and prospect database, ensuring accuracy and completeness of information.
- Calendar Management: Coordinate and manage the CEO's calendar, scheduling client events, marketing activities, meetings, and appointments.
- Prospecting: Continuously identify and gather potential leads for the company's database, aiming for a minimum of one new lead per month.
- Brand Protection: Serve as the guardian of the m2 Realty brand, ensuring that clients, co-brokers, and partners feel valued and heard. Maintain the company's reputation and image through professional communication and interactions.
- Client Paperwork: Review and ensure all client paperwork is clean, complete, and compliant with industry standards.
- Communication: Act as a liaison between the CEO and clients, co-brokers, and partners, conveying messages accurately and professionally.
- Administrative Support: Provide general administrative support, including managing correspondence, preparing reports, and assisting with special projects as needed.
Qualifications:
- Proven experience in executive administrative or similar roles, preferably within the real estate industry.
- Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Strong attention to detail and a commitment to maintaining accurate records and data.
- Exceptional communication skills, both written and verbal, with a professional and courteous demeanor.
- Proficiency with Apple and Mac products.
- Ability to work independently, take initiative, and handle sensitive and confidential information with discretion. - Dedication to upholding the m2 Realty brand and maintaining its reputation within the industry.
- A proactive and positive attitude, with a willingness to adapt to a dynamic and fast-paced environment.
- Availability for a part-time, in-person position, with the potential to transition to full-time in the future.
