Position: Events Manager
As an Events Manager at our company, you will play a vital role in overseeing and orchestrating events from inception to completion. We are seeking an individual who possesses experience in live event production and management, is exceptionally detail-oriented, and possesses a proactive problem-solving mindset. This role requires the ability to translate a big-picture vision into a comprehensive event plan, meticulously considering every minute detail.

Superb written and verbal communication skills, with a knack for clear and professional communication
A team player with a "do-what-it-takes" attitude, always ready to support other roles and wear multiple hats when needed
Key Responsibilities
Event Planning and On-Site Management: Coordinate and support pre-production, event execution, and post-event follow-up for events.
Research & Site Selection: Conduct site selection and site visits, including hotels and independent activities.
Contract Negotiation: Utilize your negotiation skills to secure favorable contract terms with suppliers related to accommodations, meeting space, food and beverage, equipment, supplies, and other elements.
Budget Management: Take full responsibility for managing each event's budget, coordinating with stakeholders to document projected and actual costs, ensuring budgets stay on track, and handling payments, invoices, and expenses.
F&B Event Orders: Collaborate directly with venues on menu planning and guarantees.
Staff Oversight: Supervise staff supporting events, ensuring they are well-prepared and trained.
Travel, Rooming Lists & Logistics Management: Coordinate complex logistics, including travel bookings, hotel arrangements, maintaining rooming lists, and scheduling activities for staff and clients. Pay strict attention to cutoff dates and room releases.
Speaker Recruitment and Coordination: Utilize your strong communication and logistical skills to engage speakers, manage their travel, contracts, technical requirements, and more.
Manage Technical Production: While technical production knowledge is not mandatory, an eagerness to learn is crucial. Past experience working with an A/V company is highly valued.
Maintain Strong Vendor/Contractor Relations: Cultivate and maintain robust working relationships with frequently used contractors and venue managers.
Supplies: Procure office and event supplies, including comparing bids and managing shipping.
Post Event: Analyze event success, prepare reports and reconciliations promptly.
Perform routine clerical tasks and administrative duties as needed.
Maintain compliance with company policies, practices, and procedures.
Contribute proactively to departmental and company goals.
Communicate effectively and work collaboratively with other employees.
Adapt to changing deadlines and priorities.
Review work for accuracy, completeness, and proper authority.
Other duties as assigned.
Supervisory Responsibilities
This position does not entail direct supervisory responsibilities and operates under general direction.
Education And/or Experience
Bachelor's Degree; three+ years of experience in event planning and/or management, or an equivalent combination of education and experience.
2 to 5 years of experience in managing simultaneous events or related fields.
Knowledge and understanding of event planning and public relations concepts, principles, and practices, including event design, organization, and production.
Preferred experience in hospitality, event management, or speaker event management.
Computer Skills
Proficient in MS Office and Excel, with solid computer skills.
Language Skills
Strong written and verbal communication skills, including the ability to communicate effectively and professionally via phone, email, and face-to-face interactions.
Mathematical Skills
Ability to calculate figures and amounts such as proportions, percentages, and discounts.
Planning And Organization
Highly organized, with a keen attention to detail. You excel at working with spreadsheets and checklists.
Other Skills And Abilities
Skilled in project management.
Adept at crisis management, finding solutions on the fly, and maintaining composure in high-pressure situations.
Ability to maintain the highest level of professionalism and integrity when interacting with suppliers, attendees, speakers, and talent.
Physical Demands
While this role is predominantly sedentary, certain activities, such as travel and supporting off-site activities, may involve lifting (up to 25 pounds), reaching, finger dexterity, grasping, feeling, repetitive motions, talking, hearing, and visual acuity. Mobility requirements may include climbing stairs, walking long distances, and maintaining balance.
Work Environment
Our office provides a well-lighted, heated, and/or air-conditioned indoor setting with adequate ventilation. The work environment is lively and boisterous, and the attire is business casual.
Travel
Approximately 40-50% travel, subject to event schedule changes. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.
  • Please note that we currently follow a hybrid schedule, with office attendance from Monday to Wednesday and remote work on Thursday and Friday. All employees must be located within a commutable distance to our Orange County, CA, or Dallas, TX office locations. Applicants outside of these areas will not be considered. The hybrid schedule is subject to change based on company needs.
