Job Description
As the Emergency Services Operations Coordinator you will collaborate with other healthcare professionals to ensure the delivery of high-quality patient care. Must have a strong understanding of the operations of a fast-paced emergency department and will assist in managing the day-to-day operations of the emergency department. The candidate will provide administrative support to the Nursing Director to ensure effective and efficient delivery of services to patients.


OTHER SKILLS, ABILITIES & KNOWLEDGE


  • Assist in managing the day-to-day operations of the emergency department, including coordinating and monitoring staffing levels and resource allocation to ensure adequate staffing to meet patient needs.
  • Maintain a safe and clean work environment, ensuring compliance with infection control and safety protocols.
  • Monitor and maintain regulatory compliance, including ensuring that all departmental policies and procedures are up to date and adhered to by employees.
  • Monitor inventory levels and supplies, placing orders when necessary.
  • Participate in the development and implementation of quality improvement initiatives.
  • Monitor, audit, and correct CPT charges to ensure accurate billing and compliance with coding guidelines.
  • Assist the Nursing Director in overseeing the daily operations of the Emergency Department.
  • Act as a liaison between the Nursing Director, nursing staff in the Emergency Department, Emergency Department medical group, and other departments within the hospital.
  • Collaborate with other healthcare professionals, including physicians, nurses, and support staff, to ensure the delivery of quality patient care.
  • Ensures accurate and timely processing of payroll for employees, including compliance with benefits, and other additions/deductions.
  • Assist in the recruitment, hiring, onboarding, and orientation process of Emergency Department staff
  • Maintain departmental schedules, including regular staff-meetings, conferences, and other miscellaneous professional appointments.
  • Maintain strict confidentiality in all departmental matters.
  • Assist in disaster management initiatives to ensure proactive-response and rapid recovery.
  • Provide administrative support to the Nursing Director, including but not limited to scheduling meetings, maintaining records, preparing and distributing departmental reports, including productivity, quality assurance, and financial reports.
  • Manage departmental records, files, and data entry.


QUALIFICATIONS/JOB REQUIREMENTS


EDUCATION


  • Active Basic Life Support Certification (BLS)
  • High School Diploma or equivalent required; Bachelor’s degree preferred.
  • Ability to work independently with minimal supervision, while also working effectively as part of a team and prioritize responsibilities in a fast-paced environment.
  • Knowledge of regulatory requirements and quality improvement initiatives
  • Ability to maintain confidentiality and work in a professional manner at all times.
  • Strong leadership and team management skills
  • Knowledge of payroll processes and procedures preferred
  • Proficient in navigating Hospital EMR Systems, Microsoft Office Suite and other computer software applications.
  • Strong interpersonal and communication skills, with the ability to interact and collaborate effectively with patients, families, and other healthcare professionals.


EXPERIENCE


  • Minimum of 2 years of experience in an administrative support role in a healthcare setting, preferably in an emergency department.
