Job Description

The Operations Director is responsible for overseeing the administrative operations and management of the GI Urgent Care Center. Their primary role is to ensure the smooth and efficient functioning by coordinating various administrative tasks, supporting facility operations and the healthcare providers.


Responsibilities:

  • Prepares a monthly report on key performance indicators, issues, IT and staffing needs
  • Maintains an effective system for employee personnel files and records ensuring legal documentation.
  • Monitors and improves metrics of daily copay and collection of balances due (i.e., expected vs. actual collections)
  • Continually monitors to ensure operations and physical property are optimally maintained.
  • Oversees patient/insurance charges, billings, payments, collections and refunds.
  • Conducts in-service sessions with staff teams to re-educate associates on practice fundamentals with a focus on improving patient satisfaction and the patient experience
  • Coordinates and manages staff schedules, including check-in and check-out, days off, minimizing overtime, and coordinating extended hours staffing (e.g., Saturday clinics)
  • Creates agendas, schedules and leads staff meetings
  • Manages and coordinates staffing (front desk, call center, MAs, procedure schedulers, authorizations, and credentialing)
  • Oversees the MD schedule template with the objective of optimizing patient scheduling and tracking physician time off consistent with physician contracts
  • Provides leadership in successfully implementing business plans for the practice.
  • Ensures clinic compliance with all regulatory agencies governing small businesses, health care delivery and the rules of accrediting bodies.
  • Oversees staff scheduling to ensure adequate coverage in all departments.
  • Actively coordinates recruitment, hiring, onboarding and continuous training of staff for practice positions, payroll, and exit interviews
  • Establishes a high-performance staff that is efficient, knowledgeable, service oriented and shares responsibility for attaining the goals of the practice.

• Perform all prospective employee reference checks. Ensure compliance with all government agencies regarding human resources.

  • Establishes, overseas, implements and/or updates Employee Handbook and practice operating policies and procedures.
  • Establishes a high-performance staff that is efficient, knowledgeable, service oriented and shares responsibility for attaining the goals of the practice.
  • Provides leadership and guidance to staff and ensure high employee morale and professionalism.

Requirements:

*Medical Assistant experience preferred.

*Bi-lingual in English and Spanish is a plus.
