Position, Department: Director of Operations, Continuing Education & Workforce Development


Type of Position: Full-time Salaried, Exempt


Work Schedule, Hours per week: Monday through Friday, 40 hours per week


Pay Range: $ 73,851- $ 92,314 and determined based on relevant years of work experience.


Pay Grade: 59.59

Position Summary: The Director of Operations for Workforce Development & Continuing Education (CE) is a leadership position with responsibility for all CE Registration Systems and technology, Information Management and Reporting, Customer Service, and daily operational functions of CE. The Director plays a lead role in improving operational effectiveness by streamlining business processes and procedures and improving information transfer between internal departments. The Director is responsible for implementing and administering operational procedures in compliance with existing policies and best practices, including reviewing and recommending opportunities for improvement of CE Operations. The Director collaborates closely with other College departments, including Financial Services, Information Services, and Scheduling. The Director supervises the CE Operations staff and the CE Registration team, in a fast-paced, team-oriented work environment with tight timelines and competing priorities.


This position is also the Workforce Development & Continuing Education Registrar and as such will oversee the registration and records processes for the branch. This position oversees the management of student academic records in accordance with the appropriate policies and procedures and serves as the focal point for customer service with the aim of making it easy to do business with Workforce Development & Continuing Education.


Required Qualifications:


  • A minimum of five years of supervisory experience
  • Strategic problem solver
  • A minimum of five years of operations experience
  • Budget experience
  • Master’s degree
  • Well-developed communication and supervisory skills
  • Excellent organizational and database management skills, with high levels of personal initiative, commitment to detail and project management skills


Preferred Qualifications:


  • Experience using Banner, Xenegrade, and SalesForce
  • Continuing Education experience preferred
  • Experience using and analyzing financial statements
  • Knowledge of basic accounting practices and principles

Position Details: Job duties include but are not limited to:


  • UPERVISION: The Director supervises CE Operations and Registration teams while fostering an environment that embraces the values of the organization. Responsible for the hiring, development, supervision, monitoring and evaluation of performance of staff in Operations and Registration. Supports needed training to staff to work as efficiently and effectively as possible. Responsible for leading professional development planning process for assigned teams.
  • LEADERSHIP AND MANAGEMENT: Establishes and implements long-and short-term goals and objectives and policies and procedures for the Department and assures that they align with college- and department-wide goals and objectives. Assigns and delegates tasks and projects at the highest level of accountability.
  • Duties and responsibilities, as required by business necessity, may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing. Scheduling, shift assignments and work location may be changed at any time, as required by business necessity.
  • BUDGET AND FINANCIAL MANAGEMENT: Develops, manages and monitors the annual budget for CE Operations and Registration. Monitors assigned budgets and assures fiscal integrity in all managed areas.
  • CE REGISTRATION SYSTEMS AND INFORMATION MANAGEMENT: The Director oversees all aspects of the CE Registration system and other technologies used in CE, including but not limited to: a. CE Registration system b. CRM system c. Banner d. Website e. Any College systems that interface with CE f. Any outside systems that interface with CE Responsible for strategically designing policies and procedures that serve the best interests of CE students and programs. Communicates, designs and implements training for system updates and new technologies for CE branch, as needed. Researches and recommends acquisitions of hardware, software and other digital opportunities, as needed.
  • REPORTING AND SPECIAL PROJECTS: Responsible for the development of all CE reports to include monthly, quarterly and annual reports by the due date and ensuring the data’s accuracy. Works collaboratively with the leadership team to evaluate reports for relevancy and updates as needed. Creates and implements special projects and handles projects upon request.
