Job Description
Oversee and direct operations and programs related to the admissions of first-year medical students, with general direction. Collaborate with the Senior Associate Dean for Admissions and Equity, Inclusion, and Diversity in the development of the strategy for admissions, and lead the implementation of the strategy. Develop policies, procedures and protocols that link the mission of Kaiser Permanente Bernard J. Tyson School of Medicine to the admission of candidates to the Medical Doctor (M.D.) program. Following applicable federal and state laws, accreditation standards, and national best practices, develop and assess criteria for the appropriate evaluation of candidates for admission. Lead efforts to best market the educational offerings. Evaluate the outcomes of the admissions process to continually improve strategies, policies, practices and results. Produce annual reports for the Association of American Medical Colleges and the Liaison Committee on Medical Education. Act as one of the representatives of the School to external organizations concerned with all aspects of medical school admissions.

Essential Responsibilities:
  • Develop and prepare for approval the Admissions Offices policies and programs and as directed, conducts audits, reports and reviews results to ensure conformance with established policy.
  • Manage the Admissions Office: Manage personnel activities such as hire, train, develop, direct staff and contingent workforce in various positions. Monitor performance and develop action plans to ensure high levels of staff accountability and performance. Independently manage the process to assure that the student recruitment and selection process and outcomes align with the mission and vision of the School - to build a diverse community of compassionate healers, life-long learners, and courageous leaders of change within the profession and in society, who will lead the transformation of health care delivery in the nation. Develop, implement, evaluate, and assess workflows and standard operating procedures. Make appropriate changes in consultation with the Senior Associate Dean for Admissions, and Equity, Inclsion and Diversity.
  • Student Recruitment: Implement student recruitment strategies as agreed-upon to meet enrollment goals for Kaiser Permanente Bernard J. Tyson School of Medicine for the Doctor of Medicine degree.
  • Assist with training of admissions faculty, including admissions committee members.
  • Ensure that review policies and procedures adhere to legal requirements and accreditation standards. In coordination with Registrar, work to ensure continuity of the admissions/enrollment process for students. Participate in scholarly activities that lead to the publication of the Schools methods and outcomes.
  • Oversee advising of and advise students in requirements for the program, testing, advising, registration, etc. Assist in evaluating the outcomes of the admissions process and present results to the School of Medicine leadership and the Admissions Committee to continually improve policies and practices. Staff the faculty Admissions Committee; advise the chair of the Committee in achieving admissions strategies and timeline; manage the meeting preparation, including the meeting schedule, agenda, materials, and follow up on action items.
  • Oversee the review of preliminary applications and transcripts to determine eligibility for admissions.
  • Admissions Process: Responsible for implementing all phases of the admissions process from marketing the program to assisting students in understanding the admission requirements to include: prerequisites, admissions testing, selection through a competitive process, through to enrollment; applicant screener and interviewer training and monitoring; and resolution of the most complex enrollment questions and problems. Consult with the Senior Associate Dean for Admissions and Equity, Inclusion and Diversity, as appropriate.

Basic Qualifications:

Experience
  • Minimum six (6) years experience working in the student admission process of a regionally accredited institution of higher learning, including six (6) years of administrative management or leadership experience.

Education
  • Bachelors degree in a related field.

License, Certification, Registration
  • N/A

Additional Requirements:
  • Demonstrated supervisory experience.

Preferred Qualifications:
  • Eight (8) years experience in an administrative management or leadership position in a medical school
  • Experience with a holistic review approach to admissions and the multiple mini interview process
  • Masters degree in a related field.
  • Ability to speak a second language in addition to English
