Job Title
Director of Admissions Operations

Position Summary
Reporting to the AVP of Admissions, the Director of Admissions Operations is a key member of the senior Admissions leadership team and provides leadership and strategic direction for the undergraduate, graduate, and international admission operations functions. The Director of Admissions Operations serves as the primary Admissions contact for data management, support for our CRM, Technolutions (Slate), and all other systems. The Director of Admissions Operations will oversee enrollment management operations in support of Texas Wesleyan University’s admissions functions. The Director of Admissions Operation’s primary role is to provide technology expertise and support in the management and usage of systems, databases, reports and data used by Admissions in order to recruit, admit and enroll students as well as supervise up to three admissions processors. The Director of Admissions Operations will work with and provide technical and data-related services, support and training to Admission teams related to data management and applications. Additionally, this position works as part of a team responsible for the design, maintenance and support of the Admissions CRM, Slate.
The Director of Admissions Operations is also responsible for data management, reporting and technology processes for the Admissions office, including imports, creating and updating reports, and auditing data to ensure data integrity across all systems, for example, the Director of Admissions Operations has oversight of the Admissions office data collection, analysis, maintenance and presentation across the various systems used by the Admissions office. The Director of Admissions Operations understands admissions processes and data associated with the Admissions CRM and ancillary systems and is primarily responsible for importing, validating, standardizing, and extrapolating data for analysis, communications, and reporting purposes. The Director works collaboratively with departments to provide operational support to ensure the University reaches institutional enrollment goals. The Director of Admissions Operations and will provide leadership and strategic thinking in researching and designing technology-supported solutions to implement admissions operational and systems strategies.

Essential Duties and Responsibilities
  • Perform daily activities related to the regular maintenance and administration of the University’s data systems with a focus on the Admissions CRM (Slate). This includes but is not limited to the creation of data imports and exports processes; maintaining and updating queries and rules; troubleshooting issues across the system; manages and monitors workflow processes, data processing systems, operations and applications; develop, implement and maintain Colleague generated reports and processes. Upload directory and search lists.
  • Responsible for coordinating the efficient and accurate flow of applications and data through the digital admission process and CRM system, Slate. Leads the office team for implementation of new technology impacting admissions (CRM Colleague and other databases); and developing CRM best practices.
  • Supervise up to three admissions processors.
  • Process integrations between systems, primarily the admissions CRM and the university’s ERP, but also others such as ApplyTexas and testing agencies. Resolve duplicate records resulting from these processes and troubleshoot problems when necessary. Edit/update student digital records, build and edit report and queries to verify and confirm successful integration.
  • Train and orient new staff members, as well as provide or coordinate training for all staff members.
  • Oversee process for international admissions documents coming into Slate and serve as a secondary designated school official for issuing I-20s.
  • Create documentation of existing and new processes and maintain documents as updates are implemented.
  • Collaborate with campus partners to identify and implement regular and annual improvements to admission processes. This involves identifying business processes that can be enhanced through creative solutions and developing improvements to workflow and efficiency.
  • Performs analyses, identifies problems and solutions, makes recommendations and evaluates results for undergraduate and graduate admission.
  • Perform other duties as assigned and in the absence of the AVP of Admissions, monitor the various admission data processes to ensure efficient processing. Also, attend meetings on behalf of the AVP as needed.

Education, Certifications and/or Licenses
Bachelor’s degree or equivalent experience required. Previous experience in higher education preferred.
Experience with a CRM is preferred.
Related experience in data management and student information systems, document management, admissions, and/or admissions operations.

  • Attention to detail with an eye towards accuracy with strong data entry proficiency.
  • Proven success in organizing, managing and coordinating multiple concurrent projects.
  • Demonstrated computer skills and prior experience with MS Office, CRM (Slate), database systems and student information systems
  • Discretion in handling confidential matters, while complying with FERPA regulations.
  • Dealing with problems involving several concrete variables in standardized situations and carrying out instructions.
  • Ability or willingness to learn various technical programming languages to ensure the successful implementation of various systems.
  • Working effectively with a wide range of constituencies, including coworkers, supervisor, faculty, and other staff of the University in order to support the department with tact and diplomacy.
  • Working independently and efficiently to meet deadlines with minimum supervision.
  • Experience with databases is preferred.
