The International Mission Board, a nonprofit religious organization headquartered in Richmond, VA, is in search of a Director, Meetings & Events.

Hours: Full Time, Remote or Hybrid


Location: Fully Remote, although we are willing to relocate you to Richmond, VA.

In this role you will lead a team of professionals that helps the company be good stewards of its resources when planning and executing events and meetings. You will accomplish this by creating and executing policies, procedures, and processes that are simple, effective and efficient when working with partner teams or planning meetings. You will lead a team this is responsible for planning and preparing for meetings as well as the execution of all meeting logistics. You will blend the team’s skills with the skills of outside partners to provide an excellent customer experience from event planning to completion.


Responsibilities:


  • Event planning from venue selection, contract negotiations, transportation, budget management/forecasting, air and travel management, lodging management, vendor management, full-service registration, media production overseas, medical clinics, security management, volunteer management, contractual liability of MSA’s, SOW’s, and other legal contracts.
  • Act as liaison for multiple security outlets. Communicate all potential risk to the CRO as it relates to upcoming travel and/or meetings. Aid in onsite management, registration, contracting, and logistics for security contractors. Work closely with the security team to ensure risk assessments are completed. Ensure secure communication goes out to all attendee’s, invited guest, contractors, and hotel partners. Maintain website, documentation, and references for secure travel, as needed.
  • Oversee logistics and operations of global meetings to include multiple international and domestic meetings with a multi-million-dollar annual budget.
  • Manage financial reporting, including reconciling invoices, managing incoming receivables. This includes invoicing attendees and approving expense reports for all meetings across the globe at the conclusion of meetings.
  • Oversee all hospitality management and conference services at the International Learning Center campus in Rockville, Virginia. This includes developing strategies to enhance ILC’s overall operations and experience quality, as well as performing frequent reviews on internal data, reservations and lodging, housekeeping, scheduling, meeting operations, contractor services, conference rooms, and onsite experience including food and beverage. This will include oversight of events taking place in dining rooms at our Monument HQ location.
  • Offer turnkey management of meetings, portfolio management, shipping and warehouse management for events, and data analysis and strategic input of smaller tier meetings.


Requirements:


  • Preferred: Meeting Professionals Intl., CMP, or equivalent certifications.
  • Preferred: Bachelor's Degree in Business or comparable field.
  • Proven ability to work on multiple tasks simultaneously with strong organization and prioritization skills, addressing critical daily issues as well as keeping focus on strategic priority.
  • Ability to work effectively with diverse groups of peers and strong business partners, foster & manage working relationships in a matrix environment.
  • Preferred: 5+ years of managing an event planning team and working with partners in airlines, hotels and agencies.
  • Experience with budget management, contract management, and data and reporting.
  • Ability to travel 6-8 weeks annually, including internationally.
  • Preferred: 8+ years event experience.
