Job Summary:
The Department Administrative Manager oversees the department/unit's day-to-day administrative activities and is responsible for all aspects of implementation of assigned projects, acting as a single point of contact.
- Develop plans to complete assigned projects, including identification and communication with key stakeholders, task management, determining or recommending solutions, and managing timeliness of deliverables.
- Interprets and enforces organizational policies and government and agency regulations pertaining to area of responsibility. Ensures staff training and compliance requirements have been met and staff knows and observes regulatory requirements.
- Supports department leadership as needed by fact-finding and presenting information, with recommendations, in a
- Tracks, monitors, and follows the progress of project plans, department goals and action items as determined by department leadership. Prepares appropriate briefing materials.
- Assists in managing department’s operational and capital budgets. Provide administrative leadership in the development of annual budget and in tracking through the course of the year. Provides regular information and recommendations to department leaders regarding spend vs. budget, variances, and expected adjustments. Design and carry out processes to ensure that leadership have the right financial information to set goals, make decisions, and monitor performance.
- Serves as a resource to coordinate information or data required for various internal and/or external inquiries.
- Establishes meeting agendas.
- Coordinates and prepares a wide-range of information including data pull/validation, material compilation and partnering with internal resources and/or external vendors on timely completion of key deliverables
- Continually assess office operations and processes. Looks for and collaborates with clinical and/or research staff on process improvement opportunities and reviews and revises administrative procedures to ensure efficient, compliant, and effective service delivery.
- Maintains ongoing knowledge of regulatory and compliance issues related to areas of responsibility.
- Must supervise at least ten (10) members of department administrative staff or support staff.
- Holds regular staff meetings, communicate information, new policies, practices and procedures, follows up on questions or concerns raised at staff meetings.
- Establishes and monitors work schedules. Approves time off and ensure coverage during breaks, lunches and absences. Effectively monitors work flow and work volume and re-allocate to meet regular and special scheduling requirements. Ensures quality, productivity and service levels are met. Re-assigns staff during peak volumes
- Administers the human resources and payroll functions for the department/unit.
- May manage the SDAN system for the department.
Educational Requirements:
- Bachelor's Degree - Preferred
