The Corporate Meeting & Event Lead will directly report to the Chief Operating Officer and support our executive team.
What you’ll do…
Meeting Planning
- Manage communications with meeting stakeholders and attendees, providing clear and detailed information, and fielding questions and feedback regarding events
- Manage relationships with vendors and travel partners including negotiating corporate rates
- Lead venue research, sourcing and contract negotiations
- You will organize event related materials, including signage, print materials, name tags, promotional giveaways, etc.
- Develop project task lists, event timelines, and the associated planning process
- Serve as the logistics lead on both internal and external events including conception, planning, management, execution and post-event follow-up
- You will manage the meeting budget and expenses, working with our finance team to ensure timely payments
- Plan and coordinate teams visiting corporate headquarters in Palm Beach Gardens including lodging, dining, events, etc.
- You will lead on-site execution and management of event, to include venue & event staff management
- Plan and coordinate annual leadership Meeting, and other meetings or events, on an ad hoc basis
- You will manage all venue logistics, including, menu planning, audio-visual equipment, décor, set-up, etc.
Philanthropy
- Identify opportunities for giving back to the communities that we operate in and coordinate events accordingly
- Develop and manage a philanthropy program that aligns with our values and business within the telecom industry
Administration
- Have the opportunity for growth and internal career advancement.
- Coordinate the executives’ schedules and deliverables.
- Occasionally travel domestically.
- Proactively carry out administrative tasks in support of the executive team including, but not limited to, creation of presentations and reports, correspondence, and communications.
- Work on average 3 days in the office, and the remainder remotely.
- Perform other administrative duties as required.
Who we are looking for…
- You are able to pivot with little notice and a high degree of composure.
- You have proficiency in Microsoft Word, Excel, PowerPoint; experience working with Google Suite is helpful.
- You are able to problem solve, think and act independently, and be resourceful.
- You thrive when interacting with others and enjoy communicating regularly and often.
- Must be willing and able to work off hours as needed.
- You have outstanding interpersonal and written/verbal communication skills.
- You may have an Associate and/or Bachelor’s degree.
- You possess integrity and exercise sound judgment.
