Job Description

Universal Orlando Resort believes in-person collaboration is key to our success. Many of our Team Members work in a hybrid capacity, contributing from the workplace a minimum of three days per week. JOB SUMMARY: Provides support to Technical Services division as well as all departments within UO for document categorization, storage, retrieval and archiving. Requires interpretation of the customer request for proper researching and location of required documents in the Electronic Document Management System. Responsible for the accurate filing and storage of paper and digital documentation in the Electronic Document Management System. Must be entrusted to adhere to the applicable confidentiality and privacy rules governing the dissemination of all documentation.

Performs office duties under regular supervision for Document Control department.

MAJOR RESPONSIBILITIES:

  • Performs quality and accuracy verification of all documentation before distribution. Responsible for distribution of documentation. Will interact/correspond with all departments on a daily basis. Writes and delivers accurate messages in a timely manner. Communication with all departments within UO verbally and electronically. Collects and delivers mail to/from mailroom on a daily basis. Responsible for keeping all distribution lists current and up to date. Responsible for tracking training compliance of Engineering released documents.
  • Performs other duties as assigned.
  • Understands and actively participates in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Organizes files and maintains all hard copy (WO) Work Orders / (PM) Preventive Maintenance, Daily Ride Sign Off documentation and QC Inspection Reports. Responsible for offsite archiving and retrieval of the documentation. Uses office machines, such as computers, multi-function copiers, large format printers and scanners, paper laminators, GBC binding machine, digital label makers and fax machines to perform office duties. Responsible for stocking and maintaining common office supplies.
  • Responsible for the safekeeping and archiving of irreplaceable documentation for the rides, shows, and facilities. Maintains all construction documents, mechanical drawings, electrical schematics, wiring diagrams, technical manuals, and archive drawings in the Electronic Document Management System. Maintains and updates digital documentation with approved revisions. Digital manipulation of files with software is required. Scans and uploads hard copy or electronic files, prints, documents and manuals to the Electronic Document Management System. Enter and retrieve data, organize records, and file documents quickly, accurately and efficiently.
  • Answer telephone and communicates information effectively in order to establish positive relationships. Answers questions from internal/external customers to the best of ability and/or directs questions to the appropriate person. Able to explain policies and procedures clearly and properly.
  • Responsible for processing and completing print request from customers, internal and external. Requires understanding the customer request, researching needed documentation in the Electronic Document Management System. Requires the use of large format printers and multi-function office machines to perform scanning and/or reproduction of existing documentation, including assembly and labeling.

SCOPE: Responsible for the storing and archival of irreplaceable documentation for Universal Orlando Resort, Universal Creative and special projects.

EDUCATION:

  • High school degree required
  • Technical school preferred

EXPERIENCE: 2-5 years clerical, record analyst, documentation management, customer service, and computer experience preferred; or equivalent combination of education and experience.
