Job Description

Our large nonprofit in Washington, DC is looking for a Brand Events Coordinator for a long term role. THIS Role is onsite 3 days a week.


This contract position will focus on supporting the development and execution of

approximately 15-18 yearly consumer-facing events as a critical channel for brand experience

and engagement. The position will report to the Senior Director of Event Strategy & Services.

Tasks will include event process management, drafting communications, supporting needs of

the team, and managing tactical details for assigned projects.

Responsibilities:


 Support the planning, production, and execution of consumer-facing, sponsored events

nationwide.

 Conduct research on fairs, festivals and major events across the country. Maintain lists

of potential events and utilize our events scorecard system to help prioritize event

opportunities.

 Support events team with logistics and pre-event coordination including creating

staffing plans, briefing memos, travel logistics, and other pre-event activities.

 Provide on-site event support, when needed, and work with events team, state teams

and volunteers, as well as on-site brand ambassador representatives.

 Produce post-event recaps and data reports as well as post-event surveys and event

photo albums.

 Liaise with legal and procurement teams as necessary on approvals and purchasing

requirements.

 Coordinate in-person and virtual meetings with internal stakeholders and agency and

venue contacts.

 Draft promotional and marketing copy to be used for print, radio, on-line and social

media.

 Assist with specific event execution based upon size and scope of the function

 Support the development of internal systems and best practices for event production

and execution.

 Support the use of the events channel to positively shape the Client experience among

members, non-members, industry leaders, media, opinion/community leaders,

volunteers and Client staff.

 Other duties as assigned.


Education, Work Experience and competencies

 Bachelor’s Degree in marketing, communications/public relations, event management,

or a related discipline (or an equivalent number of years for experience and education

combined)


 3+ years of experience in event planning and production, with a proven track record of

success

 Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)

 Strong time management and prioritization skills

 Excellent oral and written communications skills

 Ability to thrive in a matrix-managed environment

 Ability to quickly learn internal processes

 Demonstrate strong project management and critical thinking skills

 Creative thinker and superior attention to detail

 Excellent interpersonal, collaboration and diplomatic skills to work collaboratively with a

variety of personalities and work styles

 Domestic travel up to 10%

Brand - consumer facing events


1. Internal

2. External - sponsor and activate at others’ events (Jazz festivals, Balloon festivals) - 18 events per year.

Bringing Client's brand to members and prospects. Showing off the funner side. Sponsor at other events.

30x40 space/booth. Work with agencies who help with activations onsite.

Supporting the activities. Travel, contracts, document draftings for briefings and trainings for onsite external agencies for how to do what they want for setup and support.

Planners plan the events (Look &Feel, etc.). This coordinator will touch all events.

Should know MS Teams.

Perfect for someone who wants something like this for a couple of years before moving up.

National events… Some are recurring, some are cycling in new. Late Summer/Fall they do research into what new ones they want to explore for following year. This person will be responsible for this.

This person will attend some, not required for all (weekends). Perhaps 3-4 for rest of 2023. Full year (2024, would likely be 6-8). Friday, Saturday and Sunday.

They have local agencies for the physical labor but this job may involve things like t-shirts, making sure there’s water for people, Photo Booth, won’t be putting up the booth. Big component: interacting with people. Staffing the entrance to the booth, talking about the Client, willingness to engage with strangers, support and understand the brand, their mission.
