Compensation:

Salary: $45,000 - $48,000 / year + performance/goal-based quarterly bonus opportunities

Reputable Atlanta, GA law firm seeks an experienced, detail-oriented, highly-organized, assertive, self-confident, emotionally-mature and self-directed person who can take on a combined role of receptionist and legal admin assistant to work full time from our Atlanta office. Personal and professional discretion is a must.


Excellent communication skills, verbal and written. Part of your job will be to function as the “hub” of our busy office and pitch-in to lend a hand when needed. “Not my job” should not be part of your vocabulary. Thinking-ahead to pave the way for the Intake Specialist, Paralegal and Attorney to be as productive as possible, and caring about the firm’s relationship with its clients is both good business and second nature for the person that we want for this job.


The candidate we seek has the intelligence, imagination, and experience to “see around corners” with the thick-enough-skin and enough back-bone not to take constructive criticism personally. Absolutely no “toxic” personalities are permitted onto our team. This is to protect the sanity of all the members of the team and our clients, too. Please be very Word, Outlook/Email, and Excel-proficient. Have real-world, hands-on experience managing group calendars and with some sort of office management software. The person we are looking for understands that law firms must bill our clients in order for any of us (including you) to get paid, and will be enthusiastic about being sure this critical function of our business gets the attention it deserves, on a timely-basis and is done accurately.


You should be able to demonstrate good judgment, the ability to prioritize your activities with minimal supervision to meet deadlines, and coordinate cheerfully with your fellow team members to get the job done. We do not tolerate anything that gets in the way of doing our best work by serving our clients with compassion and quality.


You should have a professional decorum with a good sense of humor. We take our work very seriously around here but not ourselves. We like to have fun and we want our Director of First Impressions to feel his or her job is pretty great, too!


You should always have an above-average ability to learn and adapt as our business grows and takes on new dimensions. The successful candidate should know how to “get things done” with minimal supervision and doesn’t watch the clock…ever! In fact, we’d love to find the pro-active individual who can see the big picture and then make recommendations for all of the nitty-gritty details to make things better instead of waiting around for instructions.


Your compensation will be positively-affected by your willingness and ability to think outside the box and effectively identify opportunities, propose, and then execute solutions to increase the number of clients we can serve. This may include investing your own time to learn and remain familiar with our business and how our potential clients interact with it.

This is a full-time position but with flexibility and freedom earned by your figuring out how to get things done. You need to run to the doctor, take care of some personal business, or even go out of town for a family emergency on short notice? No problem, so long as you take responsibility for things getting done. This is a double-edged-sword for slackers but we imagine great success for the right candidate.


Summary of what you are going to do in this job:

  • Keep attorney apprised on short-term obligations as well as long-term implications of expedient decisions.
  • Open/close physical office.
  • Handle routine correspondence in your own voice on attorney’s behalf, not acting as attorney.
  • Draft client-related letters.
  • Be proactive about keeping case matter files current and searchable by team membrs.
  • Maintain calendars.
  • Prepare all mail with postage for delivery.
  • Open/Close case files.
  • Review, organize, and distribute incoming mail; and facilitate mail pick-up/delivery.
  • Provide first impression of a positive, friendly and professional law firm (greet clients and external sources by last name)
  • Provide refreshments to guests/clients.
  • Maintain and service client relationships.
  • Answer multiple line telephone system and route or screen calls; providing detailed name and information descriptions; with an eye to team members having to locate and match with file and/or documents.
  • Scheduling – this includes external and internal activities requiring paralegal or attorney attention.
  • Monitor office supply levels and needs; place supply orders.
  • Manage firm contacts.
  • Maintain organization for your work flow and recommend improvements for office.
  • Enter client (contact) details into CMS.
  • Copy and scan documents; filing in the proper location.
  • Propose new ideas for better office functioning and client satisfaction.
  • Prioritize client-related matters.
  • Manage some personal and professional relationships by being “nice” for our Managing Attorney who is very nice but sometimes get busy.
  • Greet all guests/clients who enter office.
  • Draft basic legal documents and prepare first drafts of legal forms.
  • Proof-read legal filings and needs of the attorneys and staff.
  • Assist Marketing Team with contact management, mail and email campaigns
  • Attract quality client opportunities.
  • Work with other parts of our firm.
  • Communicate with technical support, building management and maintenance when issues arise.
  • Type subpoena documents.
  • Maintain organized/clean presentation of lobby (stocked business cards and reading materials); kids area (toys put away and sanitized); conference room (reset for next meeting, chairs pushed in, cups returned to kitchen); kitchen (sink/dishes clean, counters wiped, coffee and supplies stocked); copy area (printer clear, items put away).
