Job Description

We’re looking for an enthusiastic and dynamic leader to join our team to take full ownership of all office managerial and administrative support for the firm. This is an exciting and varied role that offers the opportunity to take ownership and play a pivotal role within professional and forward-thinking legal practice.

In the position of Operations Manager, your job responsibilities will support the policies and procedures of this law firm and focus on monitoring the firm’s day-to-day operations. Specifically, you will be responsible for supervising the non-attorney staff, monitoring and managing all billable time and billing staff; drafting, revising, and enforcing policies and processes for business procedures while hiring and maintaining vendors, and oversight of office supply inventory. You will also have oversight of the firm culture and values and conduct weekly staff meetings.

Compensation:

$50,000 - $55,000 plus quarterly bonuses

Responsibilities:

Responsibilities will include but are not limited to:

  • Ensure that the firm’s business systems and processes are fully documented in writing, organized, and being followed
  • Train and Supervise Non-Legal Production Staff, including hiring and onboarding of new staff members
  • Design, implement & monitor effective business strategies, plans, and procedures
  • Hire and maintain vendors
  • Ensure matters move through the workflow pipeline within the targeted pace
  • Lead an excellent people culture through excellent recruitment, hiring, onboarding, feedback, performance monitoring, and retention initiatives
  • Assist in hiring and training non-legal support staff
  • Coordinating benefits for staff, including vacation time, sick time, and insurance; hiring and firing non-attorney staff
  • Conducting employee quarterly evaluations
  • Oversee general human resources operations, including payroll and benefits
  • Managing vendors related to IT support
  • Oversight of the daily operations of the firm and its departments. You will serve as the first point of contact for the team and internal issues
  • Assisting the owner and managing attorney as needed to facilitate the evolution of the firm into the owner's vision
  • Onboarding all staff as related to firm culture
  • Managing all aspects of the physical plant, including office supplies, furniture, and computer hardware
  • Design, implement, evaluate, and maintain the process of work to sustain and improve efficiency and productivity
  • Assisting financial manager with documentation and data collection
  • Monitoring and managing all billable time and billing staff

Qualifications:

  • At least 3 years of Office management experience
  • Bachelor’s Degree or equivalent in Human Resources, Management, or Business Office experience in various positions
  • High proficiency in Microsoft Word, Excel, and PowerPoint
  • Excellent computer skills
