Our team in Dallas currently has an opening for a Bid Administrator


YOUR ROLE & RESPONSIBILITIES


Job Summary:


The Bid Administrator is responsible for organizing, managing, and distributing Key Account bid information between internal and external stakeholders. The role has a heavy focus on metrics, data dissemination, and ensuring effective communications between the ROC and the Key Accounts Group.

  • Complete quarterly bid spreadsheet updates
  • Work with other Key Account Administrators and Specialist around the organization in gathering information (sales figures, reports, pricing, etc.); develop close communication skills and ties with the company wide Key Accounts Group
  • Sales data
  • Follow-up to ensure timely response to meet deadlines for submission of all bids
  • Identification of customer logistical needs
  • Other duties as assigned by management.
  • Ownership and responsibility are integral for this position
  • Gain strong knowledge in working within the AS-400 system to pull sales and other information
  • Serve as a “first link” with Key Account Teams and ROC Commercial Team by use of strong phone/email communication skills—provide follow-up to major account requests—assume a “CSR” mentality
  • Enter bid pricing and RFQ’s into BUS and/or SharePoint timely after Branch Managers have submitted price files; manage and meet all deadlines set forth by the Key Account teams within BNA
  • Fill out bid spreadsheet for each bid request received
  • Disseminate bid information to relevant company personnel across all regions
  • Help handle computer entry function for electronic auctions and provide response to field
  • Work with team Calendar, E-Mail, and database management
  • Disseminate post bid results to appropriate field personnel
  • Updating of group mail lists for each Major Account Generate any other reports as needed by Key Accounts or the senior management group
  • Function in absence of major accounts executives ensuring to answer any questions or resolves any issues
  • Keep an active Calendar for regularly scheduled reports, bids, appointments – reminders and tickets
  • Available as a daily contact for immediate response to internal customer requests
  • Prepare final version of bid spreadsheet/proposal for review by Key Accounts team and then help with submission to customer
  • Update contact information on Administrative Assistants
  • E-Mail monitoring and management ensuring efficient and effective communication
  • Coordinate on centralized bid efforts
  • Update each spreadsheet
  • Update contact information on Key Account Executives
  • Create and maintain a bid database to be customized for each customer
  • Have a strong working knowledge of Microsoft Excel
  • Monitor quarterly Key Accounts roster activities, use quarterly Master list to edit informationmto make the necessary changes in the AS-400 system
  • Pricing data


YOUR PROFILE


Education and Experience:


  • Employment is contingent upon completion of background investigation, E-Verify check, and preemployment drug screening
  • High School diploma required. Bachelor’s Degree in Business, Industrial Distribution, Supply Chain, or similarly related field preferred or commensurate years of education/experience.
  • 2+ years in a Sales Administration, B2B Customer Service, or similar role.
  • Knowledge of AS400 or a similar ERP system preferred.
