Key/Essential Functions & Responsibilities
  • Provides effective leadership in each program collaborating with the Director of Residential Services and BCBA Director and direct supervision to each administrator, supporting them with oversight of day-to-day operations.
  • Ensures that each Program Administrator, maintains CA regulations, oversees clinical programming, fosters quality assurance and is an advocate for the people we support and a strong liaison with families, Regional Centers, DDS, and local school districts.
  • Performs role of Program Administrator in the absence of one which will include: program oversight, staff training, adherence to State, local, licensing and Regional Center regulations, managing program budgets, liaising with families, etc.
  • Reviews and supports the maintenance and compliance of personal ledgers for the people we support.
  • Reviews data collection for the program through Digital Agency and provides training as necessary to program staff to ensure accurate billing.
  • Assesses work performance and ensures quality service provision through ongoing supervision and observation of residential program staff in support of positive engagement in the home.
  • Oversees and ensures compliance with regulations and best practices for multiple residential teams, which include a Program Administrator, Qualified Behavioral Modification Professional (QBMP), nurse, and approximately 25 - 35 Direct Support Professionals (DSPs)/Registered Behavioral Technicians (RBTs) in each home.
  • Meets regularly with Program Administrators and maintains documentation of the meetings as required.
  • Reviews and ensures timely submission of Special Incident Reports and other reports required by YAI, the Regional Centers and DDS to ensure compliance with Title 17 and Title 22 regulations in collaboration with residential staff (e.g. Program Administrator, Residential Program Support Specialist, etc.).
  • In collaboration with the Program Administrator, ensures that staff of assigned residences provide the appropriate, therapeutically documented level of individual supervision in the residence and community to ensure and protect the individuals’ health and/or safety.
  • Collaborates with YAI Development Department to foster community relations, engagement and fundraising.
  • Performs all other duties, as assigned
  • Evaluates and monitors program needs, identifies unmet needs, proposes solutions and revisions to correct issues or deficiencies and revises services as program and individual needs change.
  • Participates in meetings and case conferences with the Program Administrator as needed.
  • Assists the Program Administrator in resolving concerns relating to program, staff, family, and/or individuals including those raised by other service providers or community members.
  • Makes decisions according to State, local and agency policy and procedure to ensure the appropriate treatment milieu and delivery of services required by the individuals served.
  • Ensures the completion and maintenance of all paperwork and written records related to individual treatment. This includes but is not limited to medical records, treatment records, progress reports, data collection, behavior reports, incident reports, billing records, log notes, monthly rate calculations and all written communication systems.
  • Collaborates with the YAI Finance Department in the development and submission of the DS 6024 and 6028 forms and Purchase of Service (POS) authorizations to the Regional Centers.
  • Serves as Administrator-on-Call (Available/On Call Supervisor) with other program leadership on an as needed basis and provides program/floor coverage, when necessary.
  • Ensures that facilities are well maintained and safe and that assigned residences meet Fire or Life Safety Code standards (where applicable) and are following all regulatory components.
  • Monitors finances and budgets of each program, which includes completing monthly rate calculations.
