The University of Kansas Human Resources Department is seeking an Appointment Specialist to assist with the processing and auditing for all campus personnel and payroll related transactions. The successful incumbent in this position will be detail-oriented, accurate, and have the necessary organizational skills to ensure workload volumes are processed in a fast-paced and deadline driven atmosphere with an acute attention to customer service.

50% - Appointment Processing – Provides the processing and auditing for all campus personnel and payroll related transactions, including data submitted from Departments, Shared Service Centers and online users. Ensures that data entered into the HR/Pay related systems are accurate, timely and complete. The employee must be able to identify transactions that require further evaluation, approval or additional information necessary before being processed in the HR/Pay operating system. Utilizes an intricate understanding of HR/Payroll related systems in accordance with HR policies and procedures. Coordinates HR/Pay system processing and Onboarding processing with other departments to ensure accurate payroll processing and state records. May assist employees and departments in filling out proper documentation and forms. As with appointment transactions, the employee is the primary resource for the payroll system for ensuring data entry is compatible with system requirements. Coordinates with supervisor on resolution activities.
25% - Customer Service – The employee will serve as the Initial contact for all customers, including university departments and employees with any payroll related questions (except for those related to deductions, taxes, and international payments), policy inquiries and for the resolution of time sensitive issues. Assists employees and departments in accurately completing the employee onboarding documentation and forms.
15% - Off-Cycle Payroll Processing – Responsible for the correct processing of off-cycle payroll checks for overpayments, underpayments and supplemental checks. Initiates the direct data entry of changes to charges and funding and/or calculates and audits for correctness. Works with the Payroll Office on actual payment process or troubleshooting of errors. All transactions must be in compliance with statutory, regulatory and system requirements.
5% - System Upgrades - Assists system development teams for both new system implementations and any system upgrades. Attends team meetings and participates in special projects as necessary to analyze problems or develop system procedures.
5% - Other duties as assigned.
Required Qualifications :
- Bachelor's degree in Accounting, Business, Human Resources or a related field OR an Associate Degree in Accounting, Business, Human Resources or a related field and 2 years of experience in accounting, auditing, bookkeeping and/or payroll related activities OR a High School diploma or completion of G.E.D. equivalency and four years’ experience in accounting, auditing, bookkeeping and/or payroll related activities
- Previous work experience that required the ability to provide excellent customer service in a fast-paced environment.
- Demonstrated written communication and organizational skills as evidenced by application materials.
Preferred Qualifications :
- Experience working under pressure and meet deadlines.
- Experience with frequent policy changes and programming changes.
- Experience with accounting, human resources, and payroll procedures at an institution of higher learning.
- Experience in working with both the public and university departmental offices.
- Knowledge, skill and ability in the following:
- Ability to establish and maintain effective working relationships with coworkers and representatives of other agencies or departments.
- Knowledge of computerized accounting software.
- Ability to organize and clearly express information in concise written form.
- Ability to read, comprehend and apply pertinent laws, rules and regulations.

Starting at $45,000
