Job Description

:  

  

Charter Representatives / Schedulers are responsible for the planning and scheduling of aircraft and crew members daily. They must meet all regulatory and internal requirements while maximizing revenue opportunities. 

Essential Job Functions:

  • Able to work within a team, detail oriented and must have problem solving skills.
  • Arrange all facets of trips, including fuel, catering, ground transportation, hotels, and the like.  
  • Communicate pricing and expenses to the accounting department to ensure proper post-flight billing.  
  • Arrange aircraft and daily crew schedules to provide the highest amount of utilization.  
  • Provide timely quotes to new and existing customers.  
  • Multi-tasking in a fast paced, ever-changing environment.
  • Coordinate flight training and crew scheduling with Chief Pilot(s).  
  • Coordinate aircraft maintenance with the maintenance team.  
  • Complete daily pass-down emails to communicate schedule changes, schedule efficiency and shift change over details.  
  • Manage trip changes and/or cancellations and coordinate with all charter and sales team members as necessary.  
  • Maintain accurate and complete customer records.  
  • Ability to work remotely and handle on-call duties.
  • Other duties, projects, and responsibilities as assigned. 
  • Coordinate all flights with FBO and Line Service teams to ensure smooth launch and arrival procedures.  
  • Communicate daily with flight crew members about their schedule and assignments for the following day.  
  • Build and maintain customer relationships.  
  • Assign crewmember duty periods to provide maximum availability, coverage, and legal rest.  
  • Communicate daily with maintenance to ensure aircraft are properly listed as in or out of service.  
  • Coordinate pilot travel and logistics to maximize pilot efficiency while ensuring sufficient crew rest.  

Qualifications:

  • 5-10 years of experience within the private aviation industry
  • Ability to travel as needed – about 25%
  • Working knowledge of Jet Insight.
  • Pilot and/or Dispatch license is a plus.
  • Other programs ASANA, QuickBooks, MS Office, Unite (Intermedia)
  • OPO/Medical operations experience is highly desired.
