Description
- Performing special assignments as required, which may include but not be limited to backing up other clerical staff in their functions, including timekeeping entries in PeopleSoft, purchasing/bill payment via SAP, and manifesting of revenue.
- Ordering supplies and maintaining stockroom
- Answer/screen and direct calls providing the best customer service to all callers.
- Maintaining files and a follow-up system
- Following up on issues to meet deadlines.
- Monthly reconciliation of facility procurement cards statements
- Assisting management in the preparation of presentation materials, reports, letters, etc
- Organizing travel arrangements when required and preparing appropriate business trip authorizations.
- Arrange video teleconference meetings.
- Preparing correspondence, scheduling meetings, coordinate calendars using Outlook.
- Originating and compiling related statistical data, summaries, and reports.
- Reviewing, prioritizing, and maintaining a log of incoming/outgoing correspondence
- Candidates must possess the following qualifications in order to be considered:
- Ability to work independently and handle several tasks simultaneously with the ability to meet deadlines in a dynamic environment.
- Excellent organizational, interpersonal and communications skills interacting effectively with staff at all levels and outside agencies.
- High School Diploma or GED from an accredited institution.
- Ability to write, edit, and proofread correspondence for executive management's signature.
- Thorough and comprehensive knowledge of office practices, organizational structure, policies, and procedures as they relate to administrative functions.
- Must possess strong working knowledge and experience with PC-based applications such as: Microsoft Word, Excel, Outlook, PeopleSoft and SAP.
- Three to five years clerical/secretarial work experience.
