Job Description
POSITION: Administrative Support Assistant I\ DEPARTMENT: Housing\ Grade: 22\ Starting Salary: \$31,684.12\ Position Number: 541011\ Posted: August 15, 2023\ Closing Date: September 1, 2023\ \ GENERAL DEFINITION OF WORK\ Performs duties such as answering and directing phone calls, client intake, organize and schedule meetings/ appointments, maintains contact lists, produce and distributes correspondence memos, letters, faxes and forms. Develop and maintain filing system, orders office supplies, book travel arrangements. Provide general support to visitors by answering questions and requests. Take dictation, research and creates presentations, have the ability to handle multiple projects at the same time. Ensure operation of equipment by completing preventative maintenance requirements, calling for repairs and maintaining equipment inventories. Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications and establishing personal networks. Write letters and emails on behalf of other office staff; carry out administrative duties such as filing, typing, copying and scanning, etc. Cover the reception desk.\ \ Qualification Requirements\ To perform this position successfully duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field\'s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.\ \ JOB REQUIREMENTS AND DIFFICULTY OF WORK\ Working knowledge as administration assistant or equivalent experience. Must have knowledge of office management systems and procedures. Excellent time management skills and ability to multi-task and prioritize work. Pays close attention to details and has great problem solving skills, excellent written and verbal communication skills, and strong organizational/ planning skills. Performs proficient in MS Word and Excel, at least 3 years of experience in the field or in a related area and has high school diploma or equivalent.\ Ability to maintain computer and manual filing systems, handle sensitive information in a confidential manner, take accurate minutes of meetings, coordinate office procedures, and reply to email, telephone or face-to-face inquiries. Receive, sort and distribute mail, answer phone calls and pass them on, manage staff appointments, coordinate repairs to office equipment, greet and assist visitors, photocopy and print out documents on behalf of other colleagues.

KNOWLEDGE, SKILLS, AND ABILITITES:\ General knowledge of standard office practi es, procedures, equipment and office assistance techniques; general knowledge of business English, spelling and arithmetic; general knowledge of the organization and functions of the department and of general administrative policies and practices; skill in the operation of personal computer equipment and related office software; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; ability to establish and maintain effective working relationships with associates and the general public.
Education And Experience
