The Office of the Dean of Students coordinates a variety of student success efforts focused on student retention, persistence and graduation, including handling a wide range of inquiries and problems and assisting with crisis response issues concerning students. The Administrative Specialist Administrative position, reporting to the Associate Vice President Student Engagement/ Dean of Students, maintains and monitors all aspects of front-line operations for the Office of the Dean of Students; communicates university policies and procedures to internal and external customers; serves as a liaison between the office and the university community; hires and supervises student assistants, assists with database management, generates reports, assists with the administration of student activity fees, and develops and recommends policies and procedures relating to student success.


The Office of Dean of Students is seeking to hire (1) Administrative Specialist to join the already awesome team taking the department to the next level of excellence at our downtown Atlanta campus!

Here Is What You Will Do


  • Provides administrative support to budget maintenance, (office inventory, travel authorizations, Student Activity Fee budget allocations, end of year spending requests, etc.).
  • Schedules appointments for Office of the Dean of Students staff, including maintaining the Associate VP/Dean of Students ‘calendar.
  • Maintains and monitors all aspects of front-line operations for the Office of the Dean of Students. Opens and closes office, answers phone, responds to inquiries, and answers emails.
  • Recruits, hires, trains, and supervises student assistants to provide front desk coverage (answering phones, responding to emails, etc.) and support office functions as needed.
  • Assist with the Office of the Dean of Students records management including databases system entries, archiving of records, and receipt and delivery of sensitive mail/documents.
  • Assists department members with special projects. Performs other related duties as assigned.
  • Monitors and facilitates compliance with and communicates university policies and procedures to internal and external customers; serves as a liaison between the office and the university community; and develops and recommends policies and procedures relating to student success.
  • Coordinates and develops reports and grant applications; assists in strategic planning and goal setting activities.


Minimum Hiring Qualifications


Bachelor's degree and two years administrative experience; or high school diploma or GED and six years administrative experience; or a combination of education and related experience.


Preferred Hiring Qualifications


Strong customer service skills, including the ability to problem solve.


Effective oral, written, and interpersonal communication skills.


Demonstrated proficiency with technology. Knowledge of various software and information systems, MS Office suite, Banner or other student-oriented databases.


Ability to supervise and direct the work of others.


Ability to plan, develop, and analyze work procedures.


Experience communicating policies and procedures in a higher education setting.


Knowledge of university rules, policies, and procedures
