Reporting to the Director of Programs & Strategy in Research Administration, the Radiation Oncology Administrative Manager will work with the Sr. VP and Director of Radiation Oncology to assist with faculty appointment and promotions and coordinate projects for the Sr. VP, managing internal and external collaborations across departments and workgroups to ensure project milestones and deliverables are met in an efficient manner.


The successful candidate will manage key tasks including liaising with partners at the University of Washington, organizing meetings and special activities, and supporting faculty appointments and promotions for the Division. This position requires flexibility in a rapidly changing environment, attention to detail and strong communication skills.


Responsibilities


Administration:
  • Organize special events as needed
  • Manage operational and programmatic activities associated with the Radiation Oncology Division
  • Build and maintain strong working relationships with faculty, scientific staff, research administrators, administrative departments (e.g., Finance, Communications) and peers across the organization.
  • Organize meetings including scheduling, conference room booking, catering, agendas, and minutes
  • Provides administrative and program development support to the department as needed.
  • Support strategic planning process.
  • Perform other responsibilities as assigned.


Faculty Affairs
  • Serve as Radiation Oncology Division’s liaison to the Office of Faculty Affairs.
  • Maintain Standard Operating Procedures and policy guidelines for the Division’s Appointments and Promotions functions, including faculty recruitment, onboarding, professional scientific staff appointments, promotions, and faculty reviews.
  • Collaborate with stakeholders across the organization to coordinate A&P activities, maintaining effective communication to ensure that required processes are followed and timelines adhered to.
  • Serve as a subject matter expert on division A&P policies and procedures, providing guidance and support to faculty and staff within the division.
  • Collaborate with primary Division in faculty recruitment.
  • Manage faculty Appointment and Promotion (A&P) process for the Radiation Oncology Division:
  • Maintain division’s faculty and professional scientific staff electronic files and database.


Qualifications


Required:


  • Bachelor's degree.
  • Advanced meeting organizational, planning, and facilitation skills.
  • Highly effective team player and excellent communicator with an ability to interact with internal and external stakeholders, scientists, and executives with diverse information needs and communications preferences.
  • Excellent written and verbal communication skills.
  • Strong computer skills and experience with the Microsoft Office suite.
  • Demonstrated ability to work independently as well as collaboratively, contributing to the execution of multiple projects without independent ownership.
  • Minimum of three years of administrative management experience in a research or academic setting.
  • Strong technical and organizational skills, and ability to multitask, anticipating departmental needs and direction.
  • Demonstrated experience with project management, tracking tools, process improvement strategies.


Preferred


  • Ability to identify and take advantage of new opportunities, best practices and potential partnerships, taking into consideration scientific, academic, clinical, and key stakeholders’ expectations.
  • MA/MS
  • Knowledge of grant and contract funding process highly desired.

The annual base salary range for this position is from $70,817 to $106,225 and pay offered will be based on experience and qualifications.
