Job Description
The Transwest Administrative Assistant team is growing! We are looking to add an Administrative Assistant to the team whose primary responsibility will be to support administrative needs across the Transwest organization. Our ideal candidate will be detail oriented, personable, and able to juggle many different projects at the same time. ESSENTIAL DUTIES & RESPONSIBILITIES:


  • Posting Accounts Payable Credit Card Entries
  • Schedule and manage several CDL drivers who travel throughout the United States, if support is needed.
  • Provide high-level administrative support by conducting research, and handling information requests.
  • Manage gas cards and company vehicles for multiple locations.
  • Review credit card statements and code for the Accounting Department.
  • Answer and direct up to five phone lines on a Cisco Phone System.
  • Other duties as assigned by the manager.
  • Manage cash drawer for change orders.
  • Clerical tasks such as preparing correspondence and scheduling.
  • Sort mail and distribute it in a timely manner.
  • Book flight, hotel and other travel arrangements for Transwest personnel if support is needed.
  • Keep track of deposits for multiple locations.
  • File documents as needed.
  • Assist in working with outside contracts for building maintenance, landscaping and business development.
  • Order and Ensure office supplies are ordered and in stock for branch.
  • Posting Accounts Receivable deposits daily and assist with Interbranch accounting


WORK ENVIRONMENT & PHYSICAL ABILITIES:


  • Requires frequent sitting, standing, balancing, bending or stooping for prolonged periods of time.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Normal range of hearing and vision.
  • Ability to communicate by providing verbal / written feedback in a professional manner.


REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:


  • Valid Driver's License and MVR in good standing.
  • Possess strong analytical skills.
  • Outstanding organizational and time management skills.
  • Experience working in Google Docs and Google Sheets is preferred.
  • Exercise a high level an attention to detail to effectively complete tasks.
  • Possess at least two years of office management or executive level administrative work.
  • High school diploma or equivalent.
  • Self-starter that needs little to no supervision to accomplish tasks.
  • Demonstrate superior communication skills in person, over the phone and electronically.
  • Able to use a computer proficiently and effectively while utilizing many applications.
  • Ability to successfully complete a General Abilities Assessment and pass post-offer background check, physical and drug screening.


JOB DETAILS:


  • Shift: Monday – Friday, appx 8am – 5pm
  • Compensation Range: $18.00 - $20.00
