Job Summary
We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office employees and clients, ensuring they have all the information and resources they need to perform their best. Your responsibilities will include answering phone calls, scheduling appointments, planning meetings, and writing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
  • Maintains client contact list.
  • Acts as liaison with therapists when crisis occurs.
  • Responsible for answering main telephone line in a busy clinic to assist therapists.
  • Maintains therapist and providers’ schedule. Responsible for changes to schedules, as necessary.
  • Processes paperwork to be reviewed by clinic staff. After paperwork has been reviewed ensures that paperwork is copied, scanned, mailed and filed as appropriate.
  • May perform other assignments and duties as assigned.
  • Triage clients to handle crisis situations that occur on the phone
  • Prepares miscellaneous correspondence for clinical staff.
  • Collects client self-pay fees, co-pays.
  • Assists new and existing clients with questions and requests.
  • Extensive contact with clients and staff to coordinate appointments, clinical supervision, and meetings with staff members.
Qualifications
  • Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as printers and fax machines
  • High school diploma/GED required, Associate’s degree or administrative training is preferred
  • Highly organized with excellent time management skills and the ability to prioritize projects
