Job Description

The Administrative Assistant will facilitate the prompt collection of customer invoices in conjunction with corporate accounts receivable & accounts payable policies. Utilizing a systematic approach toward the diverse administrative tasks will be key to overall success in this position.

ESSENTIAL DUTIES & RESPONSIBILITIES:


  • Collect and appropriately transact all customer payments
  • STE with MSO/ Title work
  • Customer account management
  • Other duties as assigned by the manager
  • Review and deliver customer statements monthly
  • Review, complete, and deliver customer invoices
  • Reconcile aging reports weekly
  • Initiate appropriate collection procedures by examining customer terms, payment plans, payment history, etc.
  • Pursue debt collection, up to and including filing of legal judgement
  • Ensure accuracy of customer account information
  • Generate NetSuite invoices, as necessary
  • Maintain filing system
  • Review unpaid customer invoices and follow up on payment discrepancies
  • Prepare tax and title documents, prioritizing work to remain compliant with time sensitive titles.
  • Resolve invalid/unauthorized deductions by following pending deduction procedures
  • Assist Sales Team with minor document organization
  • Perform additional assignments as assigned by manager
  • Process new customer credit applications


WORK ENVIRONMENT & PHYSICAL ABILITIES:


  • Ability to lift 30 lbs.
  • Ability to receive and analyze data and input into the computer.
  • Normal range of hearing and vision.
  • Ability to climb in and out of vehicles.
  • Normal range of hearing and vision.
  • Requires frequent sitting, standing, balancing, bending or stooping for prolonged periods of time.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment.
  • Ability to communicate by providing verbal feedback in a professional manner.
  • Required to perform work inside and outside, in all-weather situations.
  • Requires working in a fast-paced environment.


REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:


  • Quality Team leadership (8D or similar problem-solving methods).
  • High school diploma or equivalent.
  • Outstanding organizational, planning, and time management skills with the ability to work autonomously.
  • Excellent interpersonal communication skills to effectively interact with project stakeholders, partner companies, and other individuals.
  • Acute attention to detail demonstrated through accuracy.
  • Resilient integrity with a strong work ethic.
  • Ability to successfully complete a General Abilities Assessment and pass post-offer background check, physical and drug screening.

  • Ability to apply strong analytical and problem-solving skills to identify and research resolution to issues and trends with transactions.
  • Statistical quality control understanding-Google Suite tools (i.e. Google data studio).
  • Valid Driver's License and MVR in good standing.
  • Vehicle knowledge-transportation industry experience.
  • Demonstrated willingness and ability to be adaptable to changing priorities.
  • Continuous improvement mindset.
  • Manufacturing experience in engineering to order/made to order environment preferred.
