Job Description

D.B.C Solutions is looking to grow alongside an administrative assistant who takes pride in exceptional customer experience. Do you feel stagnant where you are now? While this position does require some in person meetings, it can also be done virtually from the comfort of your home office.

The administrative assistant is the glue that holds the company together. The administrative assistant will serve as important support for the office manager, ensuring everyday success. They will also provide support to the owner, in order to protect his time to focus on sales and marketing. The administrative assistant will be responsible for most pre-job planning tasks and completing daily tasks to keep the business organized and the owner focused.

Requirements (training will be provided for all)

  • Provide daily support for Office Manager and the Owner.
  • Filing permits and keeping necessary documentation for all projects.
  • Vendor Management, Keeping up with vendor quotes requested by Team or Dan. Making sure vendors are staying on point with deliveries and also setting up dumpster and on site bathrooms prior to job starting. Also setting timed reminders for vendors to provide prompt and accurate quotes.
  • Sub-contractor support, keeping Certificates of Insurance current and sending requests for bids.
  • Detailed updates to crew and clients daily, through use of BuilderTrend
  • Client portal support and set up.
  • Data Management, making sure every project is pre-set up in the portal with all necessary info.
  • Calendar Management, for owner and for clients including pre job walks and contract signings and warranty visits and vendor appointments.
  • Schedule support and maintenance through Buildertrend client portal

Qualifications

  • Adaptable and willing to learn as we grow together.
  • Be a sounding board, be someone who is willing to share ideas and thoughts you may have on something that isn’t quite working or could be improved OR should just be removed.
  • Must be a detail oriented individual. You love seeing all the parts come together by sticking to proven methods and seeing the success of a project through completion.
  • Communicates well and efficiently. Remodeling has a lot of moving parts. The expectation will be that you can communicate clearly and well with other team members to make sure NO assumptions happen. So far, the DBC Solutions culture is a very good one. We want to continue to keep it that way by keeping lines of communication open even if something doesn't sit well or needs to be voiced. We all grow together.
  • Adaptable to Technology, someone who enjoys learning new tech. We currently use technology to elevate our client’s experience and would love your input on how to improve it. Buildertrend, Groundwork, G Suite, Gusto, Blinkist, and Quickbooks are all software we use to make our business better.
  • Works well with others, someone with open communication keeps relationships strong.
  • Self Motivated individual, who loves schedules and processes and sticking to a routine. Of course, the options for flexibility with hours are available, but one needs to establish and stick to a routine that leads to results.

BENEFITS AND PAY

  • 22/hr base pay
  • Flex hours available with notice. (Must be a fairly consistent schedule)
  • Quarterly reviews with yearly pay increase opportunity
  • Flexible part-time schedule (Must be able to work minimum 5-10 hours per week)


Applicants with continuing education experience will be preferred. Must be local for in person meetings.
