Summary


To perform complex secretarial, office administration, and public relations assignments; perform related work.


Responsibilities


  • These positions perform high level secretarial duties.
  • Incumbents may supervise staff.
  • Incumbents function with considerable independence and exercise discretion in applying policies and procedures.
  • Incumbents have a major role in coordinating administrative activities which requires frequent contact with executives, the public, other agencies and government officials.
  • They are responsible for the research, compilation, and organization of materials for administrators' use in problem resolution.
  • These positions are often responsible for insuring that assignments given to other staff by the administrator are completed and timelines are met.
  • The work requires extensive knowledge of department programs and objectives.
  • This requires the incumbent to utilize effective public relations and liaison skills. Incumbents may attend meetings for the administrator to relay and collect information.
  • These positions independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.


Minimum Qualifications
  • At least one year's work experience compiling data/information for reports or approximately six months work experience researching and compiling data for reports (completing reports for college-level courses is acceptable)
  • Good knowledge coordinating complex arrangements including the orchestration of one or more responsibilities such as: travel, registration, accommodation negotiations, coordinating volunteers, audiovisual support, planning meals, and designing forms.
  • Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.
  • Typically gained from at least 1 year of office experience which required composing and proofreading a variety of business documents on a regular basis.
  • Experience independently solving problems/performing liaison activates in work settings.
  • Typically gained from at least one year of full-time work experience working in an office environment performing a wide variety of office support functions as the predominant responsibility of the job, (answering telephones, using knowledge of computer software, word processing systems, filing systems and general office equipment). OR completion of two college-level courses (6 college level credits related to office procedures or a related field AND six months full-time of full-time work experience that included office support as a primary responsibility of the job.
  • Willing to work in a correctional facility.
  • Good knowledge of composing and proofreading a variety of business documents on a regular basis.
  • Typically gained from at least 6 months of full-time work experience that included arranging at least one of the following activities: travel, registration, accommodation negotiations, coordinating volunteers, audiovisual support, planning meals, and designing forms.
  • Experience aiding an executive, administrator, and/or manager by interpreting, applying and explaining complex information such as regulation, policies or services. My work experience in this area has been of an independent nature and I was responsible for establishing my own work methods. My duties required analysis of technical data and independent decision making.
