Job Summary/Basic Function:
To perform complex clerical, office administration, and public relations assignments; perform related work.
This position is LIMITED-SERVICE. The length of a limited-service appointment is determined by the availability of funds such as grants and/or timeframes such as pilot projects or program termination. Appointments to a limited-service position have permanent classified status (with limited layoff rights) after successful completion of entrance probation and shall receive, no later than the date of hire, a written agreement describing the non-career nature of the job and the duration of employment. Updated agreements are required every two (2) years. Cribbing the non-career nature of the job and the duration of employment.
This position will be appointed for a period of 11 months.
Department Overview:
Veterans Upward Bound (VUB) is a Department of Education grant-funded program housed at Boise State University. Our mission is to prepare veterans, of all ages and backgrounds, for post-secondary academic success. We accomplish this by assessing, tutoring, mentoring, and by helping veterans navigate academic and associated financial landscapes.
Level Scope:
Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.
Essential Functions:
  • Supervise student support staff or have leadwork responsibilities.
  • May be responsible for ensuring that assignments given to other staff are completed and timelines are met. May supervise students and staff.
  • Coordinate administrative activities which require frequent contact with executives, the public, other agencies and campus officials. May attend meetings to relay and collect information.
  • Represent the program at outreach and engagement events.
  • Perform other duties as assigned.
  • Establish, manage, and maintain a robust social media presence.
  • Independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.
  • Often serves as the initial point of contact for prospective customers.
  • Responsibility for financial record keeping including monitoring budgets, preparing financial transactions
  • Exercise discretion and independence in applying policies and procedures
  • Responsible for the research, compilation, and organization of materials for administrators’ use in problem resolution.
  • Represent organization energetically and positively by welcoming customers face-to-face and telephonically.
  • Participate in managing budget via Blumen data management software.
  • Limited travel.
Knowledge, Skills, Abilities:
  • Ability to compose official correspondence, reports, research papers and other complex documents; providing administrative support to an administrator, director or senior staff member; designing manual and automated record management systems.
  • Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.
Minimum Qualifications:
Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.
Experience: in interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements. Score within the top 25 on exam.
Preferred Qualifications:
  • Military veteran, experience working with veterans, or experience working with Veteran Services Organizations.
  • Experience using Blumen data management software.
  • Familiarization and experience using social media platforms to advertise and advocate.
  • Demonstrated experience and skills in providing classroom instruction, tutoring, or training blackboard or canvas learning applications, basic computer skills, pre-algebra and beginning algebra, English, or beginning Spanish language.
Salary and Benefits:
Salary range of $18.85-$23.56/per hour.
