The Department of Transportation and Public Facilities (DOT&PF) Alaska Marine Highway System is looking for two Administrative Assistants 1 to help us Keep Alaska Moving!
What You Will Be Doing
Alaska Marine Highways support staff play a vital role in the day-to-day operations, assisting staff and the public with various requests and resolutions. These positions perform professional-level administrative work, including but not limited to; maintaining sea time records for staff and management, training support, record keeping, accounting and financial documents, and various procurement-related documents. Incumbents must be self-motivated, demonstrate high initiative and problem-solving skills, and have strong written and oral communication with the staff and the public.

These are shoreside office positions located at the AMHS headquarters office in Ketchikan, Alaska.

Who We Are Looking For
Any combination of education and/or experience that provides the applicant with the core competencies of:
  • Strong verbal and written communication skills.
  • Experience using Microsoft Excel for data entry and record keeping.
  • Demonstrate a high degree of accuracy in work products.
  • Ability to work independently, prioritize workload while meeting deadlines and produce a consistent quality of work.
  • Ability to establish and maintain cooperative relations with internal and external customers and demonstrated flexibility and willingness to work in an environment with constantly changing priorities.
Minimum Qualifications
Six months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.
OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)
Special Note
Examples of advanced clerical experience include:
  • Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).
  • Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
