Workplace Operations Analyst Jobs

Experience in working with all levels of management including executives

Manage in-market workplace teams and vendor relationships across San Francisco and Palo Alto

Act as a single point of contact for operations related issues for all employees and managers (NY-based and remote employees)

Travel & Expenses management - advantage

Manage all office services and facilities - pantry and refreshments, cleaning, office supply, and deliveries

Work closely with the Global Operations, HR Finance teams

3+ years of experience in a similar role is a must - tech company - advantage

Ability to multitask and manage priorities in a fast-paced environment

Collaborate with the Workplace Operations Manager to plan and execute company sponsored events and company-wide meetings

Partner with the Workplace Operations Manager to triage and close out employee requests and queries via our ticketing system, ServiceNow

Assist Workplace Operations Manager and Regional Workplace Operations Manager as needed with special projects

Demonstrated customer service skills, including approachability, understanding, attentiveness, empathy and positivity

Should demonstrate strong problem solving and solutions oriented skills

Excellent written and verbal communication skills

Bonus points if you have experience working in facilities/office management and have successfully delivered events or employee engagement activities

You’ve managed large scale initiatives, including budget management and execution

High proficiency in G Suite, Excel/Google Sheets, workplace-related SaaS tools like Envoy, and project management tools like Notion or Asana.

Manage broad Workplace Operations initiatives and goals.

Develop a scalable onboarding and space planning process in partnership with HR, IT, and other teams.

Manage and coordinate all office needs from site security, building management, equipment general maintenance, incoming and outgoing deliveries and repairs.

Coordinate with building management to:

Work with staff and building management to address any safety, security, or maintenance issues.

Lead and implement strategies that support a healthy, supportive, and inclusive workplace experience.

Manage maintenance and repair requests via the tenant portal

Manage inventory of supplies for all areas of office to ensure enough stock available at all times.

10 years of progressive experience in Workplace Experience and Facilities operations management

Must have business acumen and financial management skills

Excellent organizational, leadership and project management skills

A comprehensive understanding of building systems, engineering and property management practices

Fluid in ability to create and develop cross functional programs & operational management and service delivery models

Awareness and understanding of Global Security and Operations Center (GSOC) functions to include threat & crisis management

Manage budget and spend for Operations, Culinary and Janitorial

Manage event coordination by creating action lists, event schedules, allocating team support, and managing budgets

Develop and maintain metrics to track number of projects, budgets, schedules and performance for all responsibilities

5+ years of experience in workplace or corporate facilities environment

5+ years of experience leading teams of people

Demonstrated history of utilizing strong organizational and communication skills when dealing with employees and senior leadership
