Job Description
Hunter Hamilton has partnered with our sister company. We are seeking a full-time Contractor Workplace Operations Coordinator for our Workplace Operations team. As part of Workplace Operations you will work with team members to fulfill our team’s mission, “We Help Make Your Workplace Awesome.”
In this role you will be responsible for creating a welcoming environment at the office’s reception area. This includes greeting all candidates, clients and visitors, as well as our own employees daily. You will be responsible for daily reception duties such as handling all ingoing and outgoing mail and deliveries, assisting employees, guests, customers or jobseekers with their questions and maintaining stock levels of all cleaning and office supplies.
You will work with the Workplace Operations Manager to create and foster a positive and productive culture in the office, while prioritizing the incorporation of our core value of Diversity, Inclusion & Belonging. You will do this through company sponsored events, helping to manage in-office employee perks, programs and offerings, maintaining a safe and fun workplace, and much more.
This role is a fantastic opportunity for someone who wants to gain experience in employee engagement, office operations and logistics and event planning. The Workplace Operations Coordinator role is a full time, in-office position supporting office operations.
Responsibilities
  • Provide top-notch customer service for employees, candidates, visitors and guests by greeting them warmly, answering questions, and assisting with requests
  • Maintain good working relationships with all department partners and work cross functionally/geographically with internal teams and external vendors
  • Assist Workplace Operations Manager and Regional Workplace Operations Manager as needed with special projects
  • Coordinate all training room, all-hands areas, and other large bookable space calendars for team and employee requests via ServiceNow
  • Be the first point of contact at the reception desk welcoming visitors, accepting mail and packages, ensuring that the lobby/reception area is organized, and managing our visitor/mail software system
  • Ensure that the office supply areas, parents rooms, wellness rooms, phone booths, and conference rooms are fully stocked, neat, and organized
  • Partner with the Workplace Operations Manager to triage and close out employee requests and queries via our ticketing system, ServiceNow
  • Collaborate with the Workplace Operations Manager to plan and execute company sponsored events and company-wide meetings
Requirements:
  • Can do attitude and strives to do more for a growing team!
  • Organized and has the ability to quickly adapt to change when needed
  • Excellent written and verbal communication skills
  • Demonstrated customer service skills, including approachability, understanding, attentiveness, empathy and positivity
  • This will be a full-time onsite role to support office operations
  • Should demonstrate strong problem solving and solutions oriented skills
  • Exceptional computer skills and must be clearly tech savvy with experience in people operations software such as helpdesk or ticketing systems. Google Suite (Docs, Sheets, Slides) experience is a plus
  • 1+ years of office administration or equivalent in a similar setting
