Workplace experience sits at the crossroads of office management & design, technology, and the human experience at the workplace. It combines the more traditional roles of the Office Manager with Community Management and People & Culture. As part of our People & Culture team, the value of the Workplace Experience Partner lies in forming bonds and creating meaningful relationships both locally and across our global offices.


The role is focused on happiness, employee engagement, and building a close-knit community. As the Workplace Experience Partner, you will support our 40+ (and growing) colleagues in our US operations while overseeing all aspects of the working environment. This can range from the physical layout of the office spaces to the technologies that enable collaboration.


Here's what you'll do...

Office Management 🏢

  • Responsible for all day-to-day office responsibilities
  • Partners with management and keeps them informed of updated office operations and procedures
  • Space & capacity planning
  • Supply management - Ensure that the office is stocked with office supplies, groceries, and necessary equipment
  • Managing mail, deliveries, and packages to the office
  • Collaborate with the Global IT team to ensure office systems, equipment, and security are consistently operating smoothly and consult with external vendors for assistance as needed
  • Administrate and ensure the proper usage of our travel management system, TravelPerk, for US employees.
  • Designs and implement office policies by establishing standards and procedures
  • Own and ensure health and safety protocols are implemented and up-to-date
  • Administering invoices to Finance as needed
  • Collaborate with landlords and building management for office maintenance requests, repairs, and facility cleanliness.

People Operations 💻

  • Own and handle HR admin processes and employment documents management
  • Support the P&C Manager in ensuring that company policies and procedures are compliant and effective in use
  • Supports the US People & Culture Manager in various other P&C administrative tasks
  • Manages the entire onboarding and offboarding life cycle of US employees
  • Maintains HRIS and Payroll System Updates and ensures employee data is accurate and in compliance
  • Collaborate with the Workplace Experience Partners and other members of the P&C team in our global offices to ensure that we can make the office experience as best as it can be
  • Assist in Payroll and Benefits Administration and act as backup support to Finance for payroll processing when necessary

Community 🤝

  • Organize team-building social events and wellness support activities and manage the social events calendar
  • Provide support to people who need advice, and collect feedback to analyze where services could be improved
  • Identify and coordinate opportunities for volunteering and giving back to the community


Who we are looking for

  • You believe in one-size-fits-none and are highly aware of the needs of different people - this might mean that different teams need to work in subtly different ways, but can also extend to understanding issues of diversity, inclusion, and equity — ensuring that policies and procedures are empowering for everyone
  • 3+ years of experience in an Office Management or People Operations role is highly preferred
  • As the first point of contact for both guests and colleagues, we are looking for someone who can make people feel welcome and comfortable
  • Be a problem-solver, eager to go the extra mile for your colleagues, and expect the same in return
  • First and foremost, a person that values great service - having experience with customer-facing service or in a similar role is preferred.
