Position Summary:
Reporting to the Executive Vice President, Ambulatory Physician Services and Business Development, the Vice President of Ambulatory Operations is responsible for the overseeing the operations and the revenue cycle process for White Plains Hospital (WPH) Ambulatory and Physician Services) This senior management role is designed to serve as a catalyst for change within the WPH organization and integrated physician practices and ambulatory settings. This position will be responsible for multiple practice and specialty sites.
Essential Functions and Responsibilities Includes the Following:
1. Understands and adheres to the WPH Performance Standards, Policies and Behaviors
2. Assure the effective integration and operations of established and/or acquired physician practices into the WPH operational structure.
3. Develop the Ambulatory & Physician Services division to be the organizational bridge between integrated physician practices and all WPH divisions. 4. Coordinate with hospital departments to escalate/ resolve operational issues (Accounts Payable, Purchasing, Human Resources, Facilities, Information Technology etc.)
5. Lead an interdisciplinary team towards facilitating overall success of the physician practice initiative.
6. Provide oversight of all physician practice day to day operations, including but not limited to accounts payable, revenue cycle, payroll, HR processes, etc.
7. Manages practice management team, providing leadership and direct supervision to these positions.
8. Has responsibility for Revenue Cycle operations and staff, manages systems and methodologies for third party billing and revenue cycle activities to ensure capture of physician services and effective revenue generation.
9. Collaborate with IT on ambulatory technology initiatives and Electronic Medical Record EMR (Epic) optimization efforts.
10. Assure organizational compliance with all relevant regulatory criteria.
11. Works with the Senior VP Ambulatory & Physician Services and Business Development in the analysis, planning and strategy development for the growth and expansion of ambulatory and physician services.
12. Assess staffing needs in the practice locations and presenting requests for new and replacement positions to the Position Review Committee
13. Assess capital needs in the practice locations and presenting requests for equipment/ projects to the Capital Review Committee
14. Develop annual operating and capital budgets. Ensure that practice operations and financial results are consistent with annual budgets and pro forma business plans.
15. Identify/implement operational improvements consistent with industry best practices; this may involve contracting with vendors to support these initiatives
16. Focus efforts on relationship management with the employed physician staff and seek opportunities for business linkages that are beneficial to the hospital, physician practices and patients.
17. Mentor/coach/support ambulatory managers and support their professional growth and development
18. Oversee and facilitate employee engagement initiatives and the participation of Ambulatory and Physician Services in White Plains Hospital initiatives.
19. Develop strategies to define organizational performance; identify best practices and ranges of acceptable performance; determine failure points using root cause analysis; and implement actions to improve financial and operational performance, and patient services.
20. Collaborate with ambulatory clinical team on ambulatory quality and patient satisfaction initiatives.
21. Participate/ facilitate departmental meetings (Ambulatory Manager’s Meeting, Billing Compliance Meeting, Finance Meeting, Practice Ops Meeting, KPI Review etc.)
22. Represent Ambulatory & Physician Services Department / Physician Practices at organizational meetings & committee’s (Ambulatory Compliance Committee, Compliance Committee, Grievance Committee, Emergency Management Meeting etc.)
23. Perform other duties as assigned.
Education & Experience Requirements
Master’s Degree in Health Administration, Business Administration or other closely related field required.
7-10 years progressively responsible related work experience within a healthcare setting is required.
Experience with multi-specialty physician practice settings is strongly preferred.

Experience in developing annual operating budget.

Demonstrate a flexible attitude and the ability to thrive in a dynamic, changing work environment.
Strong verbal and written communication skills as well as analytical skills.
Physical/Mental Demands/Requirements & Work Environment
May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found at the hospital switchboard, saved on a disc.

Ability to travel to and from different hospital offsite locations with minimal notice.
