Job Description
Role Summary: MSG is looking for a looking for a well-organized, detail-oriented Production/Travel Coordinator with experience coordinating all aspects of travel arrangements for employees and large crews to join an innovative, highly collaborative production department based in Los Angeles. As the creative content shop for the MSG Sphere projects, we strive to deliver content that has never been witnessed before on displays that have never been seen at this scale. Working in support of the Production department, the Production/Travel Coordinator will be the main point of contact for all travel documentation and accommodations both domestic and international. In this role, you will be responsible for overseeing travel requests of multiple projects while ensuring all arrangements are made in a timely manner in addition to supporting the team with daily production tasks. You will distribute travel itineraries and provide necessary information regarding travel logistics, per diem, expense, and reimbursement policies prior to travel. You’ll work closely with the Production team and Producers to communicate costs, alert out-of-policy requests, and relay any potential travel conflicts that may arise. The ideal Production/Travel Coordinator is adept at identifying the most cost-effective and efficient arrangements while being able to easily make adjustments on the fly as dictated by changes in production logistics. They are knowledgeable in passport, visa, vaccination requirements and common restrictions for both domestic and international travel and are familiar with all entertainment guilds, union and non-union travel guidelines, common travel industry terminology. In addition, they exhibit the ability to anticipate the needs of day-to-day logistical requirements for projects. The candidate will understand the importance of swift communication between all parties and possess a strong sense of urgency. Specific Functions/Activities Summary:
  • Distribute itineraries to travelers in a timely manner
  • Recognize the needs of both the Production team and project and proactively communicate risks, opportunities, deadlines and contingency plans in relation to logistics as they arise
  • Support the production department in a Coordinator capacity as needed
  • Ensure all international travelers meet country entry requirements and coordinate completion of mandatory paperwork with foreign offices, and scheduling vaccination appointments as required
  • Coordinate with travelers to obtain necessary documents including travel visas
  • Book and confirm airline tickets, hotel reservations and ground transportation while adhering to preferred airlines and hotels
  • Schedule, track and manage assigned work within appropriate tracking tools
  • Monitor Corporate Travel Accounts via Concur and reconcile expense reports
  • Provide cost estimates and work with department managers to obtain approvals
Qualifications:
  • Proficiency with the Microsoft Office Suite of tools including Outlook, Calendar, Word, Excel, and PowerPoint
  • Tireless attention to detail and follow through
  • Excellent interpersonal skills with internal and external stakeholders
  • Background in live entertainment, film, television, commercial, or immersive media
  • Comfortable interfacing with executives, above the line talent and below the line crew members
  • Ability to prioritize in a fast paced, high-pressure environment
  • Ability to work autonomously while having a clear sense of when to seek guidance from Manager
  • Familiarity with travel management software similar to SAP Concur
  • 1-2 years’ experience coordinating domestic and international travel for large production crews
