Job Description


The Travel Coordinator will arrange business travel for employees, identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations, following company policies and approval processes.


RESPONSIBILITIES:

  • Performs other related duties as assigned
  • Maintain travel records and approvals
  • Use Vialto resources to stay abreast of current travel requirements and restrictions
  • Act as an internal consultant for managers and project managers to understand travel advisories, entry requirements and other issues that would impact travelers
  • Prepare travel itineraries and distribute travel arrangements and schedules to all appropriate staff
  • Identify opportunities to streamline and/or create scalable, global processes; work with stakeholders to create, document, implement, and educate on new processes
  • Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns
  • Coordinate credit card processes, requisitions, credit limits, distribution, and replacements
  • Ensure compliance and provide coaching for travel and expense policies to all travelers
  • Assist travelers with Vialto application to obtain travel letters, Visa’s etc.
  • Obtain approvals from leadership for travel requests and expenses that exceed established limits
  • Attend Corporate travel meetings and cascades appropriate information
  • Write travel letters for employees to cross borders
  • Advise travelers of and assist with any need for specialized travel documents such as visas, special permits, passports, immigration
  • Research and compare available travel and hotel accommodations to identify the best available option for each travel need
  • Negotiate local agreements with hotels, transportation agencies
  • Support travelers with any issues (may occur outside of business hours)


QUALIFICATIONS:

  • Previous training and experience with Concur or similar travel software highly preferred
  • Bachelor’s degree in hospitality management or similar is preferred
  • Must have a minimum of two years of travel booking experience in a fast-paced environment
