Job Description
We are seeking a Sr. HR Coordinator who will provide human resources and payroll support to the Engineering for Professionals Finance Department of the Whiting School of Engineering. This position represents Engineering for Professionals as appropriate in communicating professionally with faculty, administrators, staff, students and external contacts. The Sr. HR Coordinator responds to and resolves questions, problems and issues, and gathers data as needed, and interprets operating policies of the University.
Specific Duties & Responsibilities
Payroll
Processes Internal Service Requests (ISRs) for the department.
Processes I-9s for faculty and students.
Maintains system to track faculty/staff payroll information and generate reports.
Processes promotions, transfers, reclassifications, salary increases, bonuses, overtime, and terminations.
Implements system to monitor/resolve payroll issues: salary distribution/supplements/merit increases/terminations.
Administers the full-time, part-time, limited and casual faculty/staff/postdoc/student payrolls, including all documentation, processing, maintaining, and reporting.
Serves as payroll consultant to department administrators and managers.
Manages the CAT2 payroll and TimesheetX of casual staff and student workers by ensuring hours are appropriately tracked and reported, and all federal/state regulations followed.
Anticipates potential payroll issues and questions and takes pro-active action to prevent development of problems or resolve problems.
Accurately maintains payroll data information systems and related documentation.
Audits and reconciles all payroll actions.
Develops and documents standard operating procedures for the payroll department.
Analyzes payroll processes to identify areas for process improvements and streamlining.
Develops efficient electronic and paper record keeping systems to track a significantly high volume of electronic and paper payroll transactions ensuring security of information.
Partners with Finance Manager and consults with Whiting Human Resources to identify and develop procedures to allow seamless new hire/termination processing, staff/faculty/postdoc/student changes, and on any special projects impacting payroll such as organizational restructure, large scale special hiring projects, etc.
Human Resources
Maintains a high-level of customer service by providing timely responses to faculty, staff, and students.
Manages confidential HR material and projects.
Assists, compiles, and disseminates information for EP and WSE Human Resources initiatives.
Facilitates the financial approval process for submitting positions through JHU Success Factors (SF).
Submits and tracks requisitions in SF. Coordinates candidate interviews, phone screens, and reference checks.
Provides recruiting and selection support for all open requisitions.
Serves as a liaison for Central HR as needed to bridge communication with faculty/managers.
Ensures all non-exempt weekly time input is completed within federal regulations.
Ensures all non-exempt overtime payments are processed timely and within federal regulations.
Ensures all faculty/manager approve E210s by the designated monthly deadlines for accruals of vacation and sick leave.
Administers the e210 timekeeping system as appropriate, pro-actively ensuring information is updated to permit appropriate manager access and records approval.
Determines appropriate leave usage and codes and up-dates staff time keeping system to reflect correct use of accrued sick or vacation, short term disability and/or leave without pay for all staff on family medical or other leaves of absence.
Terminates employee access, coordinates badge collection and JH property collection.
Uses the network and a variety of software programs to create and organize quality documents and reports.
Credentialing
Prepares forms as directed to initiate credentialing application.
Prepares credentialing file and obtains signatures as required.
Prepares transmittal sheets, checklists and other documents related to credentialing file.
Initiates ISRs to request/maintain positions.
Processes payroll related ISRs.
May compose standard letters to assist in credentialing requests.
Record Keeping
Maintains existing and create new records of personnel for departmental faculty, staff and students in the EP Database and SIS.
Performs miscellaneous related duties as assigned.
Special Knowledge, Skills & Abilities
Able to maintain confidentiality with sensitive information.
Able to coordinate multi-faceted types of work.
Able to work independently with minimal supervision.
Proficient in Word, Excel, PowerPoint, Email communications, electronic calendaring, transcription, excellent spelling and grammar.
Excellent interpersonal and organizational skills, ability to handle multiple complicated tasks, prioritization skills. Ability to operate PC, laser printer, copier, shredder, scanner.
Minimum Qualifications
Bachelor's Degree in Human Resources, Business Administration, or other related field.
Three years related experience.
Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Additional years of experience in human resources preferred.
Prior human resources, payroll and SAP experience preferred.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
